In any office, the goal is to provide patients with access to clinical care that fits their treatment needs while keeping their providers busy. Depending on the number of providers in your practice, getting in may even be a bottleneck. This pushes patients further out in the schedule than we might like. Alternatively, we may find ourselves with last-minute cancellations, which can be challenging to fill. Quick Fill puts you back in charge of your schedule by allowing you to text multiple patients all at once and let them know there is a potential opening with their favorite provider. There are several ways to utilize the Quick Fill function to fill your schedules. The first is straightforward, you manually add your patients to the list, and when there is an opening, search via these patients to get them in your schedule earlier. The second is to use the tool to look backward in your schedule and show you all your missed and cancelled patients. Both can be very effective, but you can be selective with how you use them.
To add a patient to the Quick Fill list:
On the Patient Overview Screen, Click Edit
Place a checkmark next to Add Patient to Quick Fill List.
Select Preferred Provider, Preferred Hygienist, or Any Hygienist
Review the patient 'Preferred Provider' and 'Preferred Hygienist' selected in their record.
Above Add patient to Quick Fill List, you will see a blue hyperlink called Preferred Appointment Time. Click on that link and add the times and days the patient would prefer to visit the office.
Once you’re done, you can click on the Close button. It will bring you back to the Patient Information page so you can continue editing. If no other changes are needed, click on Save, and your changes will be captured.
Alternatively, If you have a patient looking for flexibility for one potential appointment. In that case, you can add them to the Short Notice list by modifying the single appointment, as shown below.

Quick Fill/Short Notice results appear based on the patient’s day of the week and time preferences.
Users can search for patients who have missed or canceled appointments that need to be rescheduled. Modify the Appt. From Date to capture those appointments.
Once you have selected the patients, you want to send an alert.
Preview Text Message displays a sample of the message that will be sent. Users can edit the message if needed. The message can be sent to the selected patients by hitting Send Text Message. Denticon will ask you if you are sure you would like to send the message. Confirm by selecting OK.
Patients that have been marked as No Auto SMS, No Correspondence, or do not list a cell phone number on their patient records, will not appear in the results.
Your message will be instantly sent, and a Quick Fill Appointment will now occupy that space in the schedule.
The appointment slot is reserved on the scheduler with a placeholder showing “Quick-Fill.” The placeholder will remain on the schedule until it has been removed or filled.
Your patient will get a message that looks like this. This will allow them to reply YES and instantly schedule that appointment.
Once the appointment has been scheduled or deleted, all other patients who received that invite to schedule will receive a second message that indicates that the appointment is no longer available and invites the patient to call the office to schedule another available time.
If your patient chooses to call the office regarding the text to book, you can search for the messages sent by selecting the Scheduler, selecting Quick Fill, and searching by Message ID. Once the report generates your section, you may book the appointments from here by selecting Book next to your patient. This will open the Add/Edit Appointment screen.
Your patient will receive a confirmation text, and their appointment will be secured.
