FPS Room Communication - Privacy Policy

FPOS FLO or FPS Room Communication ("the extension") is a Chrome extension used by staff of a medical facility to communicate about exam rooms and patient flow. This policy explains what information the extension handles and where it goes.
WHERE YOUR INFORMATION GOES
The extension connects only to a relay server that [practice name] operates on its own network. All messages and status information are sent to that server over an encrypted (TLS) connection and stored there. Nothing is sent to the extension's developer, to Google, or to any other third party. The extension contains no analytics, tracking or advertising.
INFORMATION THE EXTENSION HANDLES
- Staff and room names: the name you log in as, which other staff can see.
- Messages: room chat messages and direct messages you send and receive. These may include patient care information typed by staff.
- Workflow status: which status buttons are turned on for which rooms, and when.
- Preferences: your starting tab and badge settings, stored on the relay so they follow your login to other workstations.
- Administrator PIN: sent to the relay only to unlock administrator settings. It is not stored in the extension.
- An audit log on the relay records administrator changes (for example, adding staff or rooms, or changing buttons).
INFORMATION STORED ON YOUR COMPUTER
The extension stores only the relay server's address, the name you last logged in as, and a display setting for each workflow button tab. It does not store messages on your computer.
RETENTION
Room chat messages and direct messages are deleted from the relay automatically after 30 days. Roster entries, workflow button settings and the administrator audit log are kept until an administrator removes them.
ACCESS AND SECURITY
Only computers on [practice name]'s network that can reach the relay server can use the extension. Access to the relay server and its database is controlled by [practice name] under its existing security and HIPAA policies.
WHAT THE EXTENSION DOES NOT DO
It does not read, collect or change the content of web pages you visit. It does not track your browsing history, location or activity outside the extension. It does not sell or share any information.
