Booking System
When having visitors on site, colleagues are responsible for their own visitors.
Colleagues should ensure they have made the appropriate arrangements in good time for their visitor - for example booking a meeting room and car parking space in advance. If the visitor is to work at a desk during the day, they must ensure that their belongings are not left in the desk area. They must use either one of the spare lockers (limited numbers) or make use of space allocated to them in the relevant department’s cupboards.
Car Parking
There are 5 spaces allocated to visitors which are highlighted in pink on the map above under section 1.4 Car Parking and Parking Permits. They are also indicated by a ‘Visitor Parking Only’ sign. These 5 spaces are bookable via the meeting room bookings on Google calendars and must be for genuine visitors. Instructions can be found HERE on Connect.
ATS and Tructyre colleagues must not park in a visitor’s space, even if all the other spaces are taken. If there are no colleague spaces available at the office, you must park in the overflow car park. Colleagues from Tructyre and Michelin Group should also use the overflow car park as ATS colleagues.
Please ask visitors to contact you when they arrive at the front door of the building and remember we don't have a manned reception. This means you will need to ensure that they have a telephone number to contact you on before they arrive.
Visitor Signing in Process

When we have visitors on site, it is vital we capture their information for fire evacuation purposes.
Please be aware that the system is purely for external visitors, colleagues should not use it for signing themselves in and out.
Located on floor one is a tablet device, for visitors to use. To use this, please follow these simple steps:
Click the sign in button on the device
Enter the visitor's name, company name, who they are visiting and car registration number
Read out the Health & Safety message
Their photograph will be taken
They are now signed in
On floor two, there is a poster on the door with a QR code. The visitor needs to scan the QR code with their phone and this will open the sign-in app, please ensure your visitor follows the same instructions as above.
An email will be sent to whoever they are visiting, however it remains your responsibility to meet the visitor on arrival.
Visitor lanyards are hanging on a coat stand in the seating areas. These do not provide any access to either floors, so you will need to ensure that you are available to allow them inside the office area.
There will be an option to sign out on both the physical tablet and on the app that will appear on their phone if they used the QR code.

Escorting
On arrival, the accompanying colleague should ensure that their visitor reads the visitor induction document which can be found HERE on Connect. They should sign into the building by way of the tablet on the First Floor or by using the SignIn app and QR code on the Second Floor.
Visitors should not be left in the building unaccompanied. Colleagues are responsible for their own visitors during their entire time in the office.
The accompanying colleague is responsible for ensuring that their visitors sign in and out of each day that they are in the office.
