Tickets & Concessions
If needed, set up tickets and concessions three months before your Large Event.
Tickets - GoFan, ASBWorks, or PurplePass (donations only)
Comp / Free Tickets - submit names and IDs to Ms. Perez and Ms. Y prior to the ticket link going live
Concessions - GoFan or the Cashbox (not recommended)
Cashbox used: Advisors must immediately put money in drop safe (Mailroom) with signed deposit form.
Min X Min
Make the Min X Min two weeks before your event.
Organize things minute by minute into a schedule
Be detailed and exact; but include buffer time
Share the Google Doc with Ms. Y + club advisor for approval.
Event Services
Club funds pay for all services
Custodial ($60/hr), AV Tech ($25/hr), Security ($60/hr), Yearbook ($25/hr), Equipment Rentals
List all services and items and their quantities under "Event Needs"
Clubs are responsible for moving and returning all equipment!!!
ASB will submit RPO once timesheets are submitted.
Clubs will be notified and must approve payment through a signature form.
Make sure your club has enough funds or will make enough profit to cover service costs.
FACILITY MAPS AND NEEDS
Theater - Capacity: 459
All performers need wristbands.
Tell Ms. Perez how many performers
Book Theater rehearsals in advance
submit a separate ERF
Fees: Student Tech, Custodial, and Security (Mandatory)
Performing Arts events take priority before the availability for club events.
Coach or custodian MUST be present with their key to open equipment closets.
NO equipment closets, classrooms, or storage areas can be opened without approval of teacher who runs that program.
Cougar Hall - Capacity: 989
Fees: Any AVT / Tech services used (Mandatory & requested in advance)
All events on weekdays that end before 9 PM do not require custodial fees.
NO classrooms, offices, or storage areas can be opened without approval from the owners of those item/spaces.
Gym / Stadium - Capacity: 900
Sports take priority before the area is available for club events.
A coach or custodian MUST be present with their key to open equipment closets.
NO equipment closets should be opened without explicit permission from the coach who runs the program.
TLC
Fees: Any AVT / Tech services used (Mandatory & requested in advance)
NO classrooms, offices, or storage areas can be opened without approval from the owners of those item/spaces.
