Dear Competition Managers,
Some Managers have each begun setting up competitions in HorseSportPro. I wanted to give you an updated timeline for setting up your competitions within the 2025 rule set. As a reminder, the EVUSA Board has passed several rule changes for 2025, and FEI has also made some changes. The HSP development team is implementing those rule changes RIGHT NOW, and when that work is complete, you can set up your 2025 competitions.
The new 2025 HSP Rule Set will be ready for your use by 2/1/25. We are attempting to have them done earlier, and I will let you know when they are available.
It is not possible to set up your competitions in HSP 2024 rules and then later migrate them to the 2025 rule set. This is our first year for rule changes in the launched system, and I plan that rule changes will be more quickly implemented in the future, but much of the timeline is dictated by when FEI and the EVUSA Board make rule changes.
If your competition is using ONLY rules which did not change for 2025, you may proceed under the 2024 rule set. This includes:
Events using HSP for sign-up only.
CVI scoring DID change for Squad Free Test 2 Juniors DOD, and 2* Seniors PDD Free Test, so if you need those for scoring, you need to wait for the 2025 version.
Events can use HSP to verify participants’ SafeSport status.
Barrel-only competitions. Barrel classes did not change much for 2025, though there were several added classes. There were name changes, but it will do no harm to use the old names:
Open Individual Barrel -> Advanced Barrel Freestyle (1 Freestyle test only)
Preliminary Individual Barrel -> Intermediate Barrel Freestyle (1 Freestyle test only)
Trot Individual Barrel -> Beginner (or possibly Novice, the Board will shortly decide on the name) Barrel Freestyle (1 FS test only)
You can check the 2025 Division Spreadsheet for HorseSportPro, to see the list of Divisions that will be implemented for 2025 and their associated Tests (column O). You will note that this spreadsheet contains
USEF and EVUSA Recognized divisions;
Guidelines divisions;
Many other divisions offered by CMs in different Regions
The gold-highlighted “Template” divisions, as always, are for CMs to make specialized classes, e.g. the “UR Individual” template could be used to offer “UR Individual - 50+ only”.
NOTE for competitions, close of entries 4/1 or later - expect updated rules by 2/10:
There a further significant update to incorporate when USEF makes the same rule change, expected 4/1; Silver competitors’ third test will change from Compulsories to the Right to Freestyle. After the general 2025 rule changes are programmed and tested, we will make the change in Silver. Competition Managers will then have to choose the correct rule set for their competition, based on Close of Entries date: January-March 2025, and April 1 2025.
For those of you who need to run 2025-rules competitions, I suggest you abandon your drafts (delete them when you’ve retained all needed info from them), and begin fresh competitions when the applicable 2025 rule set is available.

Vault onward and upward in 2025!
Some of you have begun setting up 2025 competitions in HorseSportPro, and I have good news and bad news for you.
The bad news is that you will have to wait to set these up, because there have been rule changes from both EVUSA’s Technical Committee and from FEI, approved by the Board, that need to be implemented in the system. Technical Chair Kendel Edmunds will no doubt shortly be providing a complete rule change overview for the Membership, but the changes are fairly extensive and will include:
Horse Scoring change for Walk and Trot horses, to be effective 1/1/2025. This change will require revisions of all the walk and trot horse scoring scoresheets (Judge A for any competition with 2 or more judges).
A revision of the Guidelines. I am still working to determine which score sheets this will affect.
FEI has made changes that will affect CVI scoresheets starting 1/1/25. Technical Committee has directed these changes to be implemented 1/1/24 for EVUSA classes as well:
Add CoH within Artistic for 3*, 2*YV TT (20% for COH)
2* B Squad, DOD coefficients (Performance) changed M from 0.3 to 0.4; E 0.1 to 0.2
The good news is that we’ll be programming the system to accommodate these changes, which the Board of Directors believes are positive changes for vaulting.
Therefore, Craig won’t be approving 2025 competitions routinely until we get these rules built in. You remember the first step of competition creation is accepting the applicable rule set:
… so by the end of the year (EDIT: no later than 2/1) there will be another option for “2025 EVUSA Rules”.
NOTE: if your competition won’t be affected by any of these sweeping changes, you can go ahead and set it up now - just make sure you tell Craig in the Note when you request approval that you are cognizant of the situation. Who won’t be affected?
Anyone simply using the system to set up a clinic or medal test, using the “Signup” option to allow people to sign up for sessions, etc. These managers can still use HSP’s participantmMembership and SafeSport verification functionality to ease their event organization process.
Anyone setting up a Barrel-only competition.
Anyone using only 1 judge for Barrel and/or Horse classes, IF you won’t be needing the 2* Young Vaulter, the 3* Individual, or the 2* B Squad scoresheets.
Hello HSP stakeholders, here’s a roundup of points to remember while setting up and running your shows.
First, I have to say how PROUD I AM of all of you! For digging in with the new system and running successful shows this year.
Over 20 shows run so far!
Several weekends with 3 and 4 shows running simultaneously!
Dozens more shows already set up through the rest of 2024!
Here are some reminders and observations from the shows that have run so far this year.
Remember to change that “Lock Registration Date” to at least match your Close Registration Date - although you probably want to set it to about a week to 10 days before your show occurs.
Remember that Close Registration is to allow you to plan your Schedule and order awards - it’s intended to “freeze” the number of class entries.
Clubs are still allowed to change horses and lungers for tests, and to change music, until the Lock Registration date.
After Lock Registration, you are free to make any final judge assignment tweaks, print score sheets, prepare ribbon labels, and download music onto your music computers.
If you don’t set Lock Registration, as far as the system knows, the competition is already locked because it reads “0000-00-00" - so your “Sign Up” button will not activate for clubs to sign up for your show.
If you are charging a Registration Fee, make sure you correctly price your “Lunger & Vaulter” and “Groom & Vaulter” options. The system is quite literal. In the example below, if the Vaulter Price were $85 but the Lunger & Vaulter Price hadn’t been changed from $0, then if a vaulter in one class lunged in another, there would be no registration fee for them. In contrast, this show manager has set her prices consistently.
Also, if you set a “Per Participant” fee AND another fee, say, a “Lunger Price”, then lungers will be charged BOTH fees. Very often we’ll use one or the other fee, but the system is flexible and you can use both.
Vaulting doesn’t use these forms, they are hold-overs from the other disciplines that use HorseSportPro. You can safely disregard these entirely and just use the Prize List file manager.
Score sheets in HorseSportPro are set up to reflect the EVUSA Reference Score Sheets on the EVUSA website, and allow these numbers of judges:
EVUSA Recognized Classes: 1, 2, 3, or 4 judges
Unrecognized Classes: 1 or 2 judges
CVI classes: 4 judges
Remember to CONFIRM YOUR JUDGES well ahead of when you want to print your score sheets! Score sheets will not print until judges are confirmed for each class on the schedule.
Entry Group managers can now invite anyone with an EVUSA online account to assist with their club’s entries, e.g. handling the finances, or managing the music.
Hello competition managers! We have several competitions happening over the next few weeks, and here are some HorseSportPro system updates for you all.
1) Squads out of order: For those of you who noticed the “squad ordering” issue (the order of vaulters the coach entered was different on the Schedule and on the squad comps scoresheet) - this is now corrected. The bug fix passed my testing, so please let me know ASAP if you see this issue again.
2) Youth USEF members showing as Invalid: This is still an active bug. On the main / Athletes page of each Entry Group, Youth members who have a USEF numbers (“NSO Number”) show on the main page as USEF “Invalid”. Here’s a video explaining what’s going on with HorseSportPro checking USEF membership data. (Bug subsequently fixed.)
3) When schedules need re-calculating. The Schedule kept in the system is always current with any changes such as horse changes, re-ordering of arena entrances, etc, and once in a while it will get confused and you will notice weird timing, like afternoon classes beginning before your morning classes wrap up, or your 60 minute lunch omitted entirely. This happens when the system (rarely) fails to fully re-compute the whole schedule. To fix it, simply go to the affected arena Schedule (Schedules tab > Edit Arena > Schedule) and make a change that doesn’t actually change anything, such as sending the last vaulter in a class to the last position in the class using the "move this vaulter down one position" button.
This will cause the Schedule to figure “Ah, I need to re-compute myself now” and it will re-calculate all the timings as you have set them up, setting the schedule to rights.
4) Exhibitor numbers not yet populating: A top-priority bug we’re working on is to get Exhibitor # to display on the Schedule.
This is on the way, and I hope will be corrected within the coming week. Until then, gate managers should verify vaulters and lungers by name. (Bug subsequently fixed.)
Wishing you all good luck at your shows, and looking forward to your feedback on successes and system improvements.
Please be aware that HSP will be down later this evening, 6PM-10PM Pacific, for migration to more robust networking equipment. A bunch of shows are beginning in upcoming weeks and this move will reduce the chance of unexpected downtime during the competition season.

Many of you will be setting up your Orders of Go soon! Here’s a video introduction to the basic scheduling functions in HorseSportPro. As always, please leave some extra time for your first schedule! The system has many helpful features, but it will take a while to get used to them. Once you’ve done your first schedule, please give me some feedback about how to improve the educational materials on this fairly complex part of the system.
Reminder - competition managers should list Tack Stalls with Summary > Pricing - Options > Other Options, NOT Stall Options. The reason is that Horse Registration allows competitors to select ONE stabling option for each horse, so if Tack Stalls were a Stall Option there would be no horse to associate with the tack stall. When Competition Management makes Tack Stalls an “Other Option”, then competitors can sign up for any number of tack stalls under “Other Items”.

HorseSportPro stakeholders, here’s a news roundup for you:
1. The Class Consolidation spreadsheet now shows which Tests (column M) are set up for which Class (column L).
You’ll note there’s lots of flexibility built in for barrel classes:
For Barrel Individuals, class numbers 110-118 use both comp and freestyle tests, whereas class numbers 101-103 and 119 are freestyle only
For Barrel Pairs, all are set up with one Freestyle test
For Squad, all levels are set up with comps and freestyle, except (class 180) there’s an option for squad freestyle only; and they all accept min 3 max 6 vaulters
On Class Numbers, the system currently does not associate class numbers with classes, and we may not in future because many CMs are finding class numbers unnecessary
But if you want to use them, include them in the class setup suffix, ideally using the new numbering scheme from the spreadsheet, e.g.
3* Individual + suffix “Class 1” will display as “3* Individual - Class 1”
2. All classes have been revised in accordance with 2024 rule changes, as of Feb. 1. FEI classes are also available on the class list (listed at the bottom).
3. Competition Managers must remember to set an Entry Lock Date, or their competition will be unable to go “live”. Entry Lock Date is found on the Summary tab. As a reminder,
Close Registration Date is the date after which competitors may no longer register for the show or enter new classes. They may still scratch classes, change horses and lungers, and upload music until the Lock date. After COE, CM may order ribbons and check memberships and release forms (unless they’ve set a later due date for release forms).
Lock Registration Date “freezes” all the data for the competition, and clubs must ask CM for assistance for any subsequent changes. This allows CM to print scoresheets, download music to the music computer, and make any other final checks.
4. Remember that competitors cannot upload music until CM Schedules the test! (Details) Either prepare your rough-draft schedule immediately upon creating your Class List, or right after Close of Entries.

For those of you already setting up your 2024 competitions, as you know, we are working on scoresheet changes approved by the Board, expected completion by the end of January. We also expect 3 and 4 judge scoresheets for EVUSA Recognized divisions, and FEI scoresheets, to be available at the end of January as well.
The Board approved reformulating 1* PDD (Canter and Trot). Previously there were “One Freestyle” and “Two Freestyle” options for this class. In 2024 there will be a single option for each, consisting of one compulsory test and one freestyle test.
Also, not impacting scoresheets, but be aware the USEF vaulting sport committee has requested the USEF board add 1* Canter PDD as a USEF Recognized class. If the USEF Board approves this as an emergency change, then those participants (vaulters, coach, lunger(s)) will need to be USEF members (and the horse, USEF registered).
I advise you to wait to add these divisions to your list of classes (if they’re already there, you can delete them) until the reformulated offerings are available at the end of January. Get in touch with me if this is an issue for you.

Currently HorseSportPro has scoresheets available*** for 1 and 2 judges for all the divisions indicated on the Consolidated Class spreadsheet. These are currently the 2023 versions; we are working hard to make the many 2024 revisions recommended by Technical Committee and passed by the Board in late November.
Below is the list of divisions (the Recognized ones) that will also have 3 and 4 judge scoresheets, planned for the end of January. All the other divisions will only support 1 and 2 judges. Get in touch with me if this is an issue for you.

It’s the newer generation of one that’s been working well for my competitions since 5/2021.
This one quickly prints out black-and-white scoresheets, and has a paper handler for scanning stacks of score sheets.
FYI, in case you plan to update your printer/scanner, it may be an option.
