ⓘ Please contact systems@ds.dfci.harvard.edu or notify administrative staff on-site if a printer is low on toner and/or ink so we may replace the cartridge at earliest opportunity.
Refer to the list below for the printer or copier info (All '11' locations imply CLS).
NOTE: If you cannot view the table below, you are not viewing this page from your Data Science Google account! Switch accounts or log in here.
Open System Preferences on your Mac and navigate to Printers & Scanners. Click the + button in the bottom left corner to add a new printer.
Select "IP" or the top icon in the middle of the interface that looks like: 🌐
Using the information from the table in the section above, add the IP of the printer and the corresponding name (for your own records, to know where you are printing to). Location is optional but can be a helpful reminder. See screenshot in this section for an example.
The printer software will be installed on your Mac, after which you can click Options & Supplies > Options > and check the box that says "Duplex Printing Unit."
This setting ensures you can print double-sided, for printers able to do so.
Click Start Button (bottom left of taskbar) and in the search box, type printer to jump to the printer settings.
Attempt to add a new printer.
A few seconds will pass, and it will not discover any printers to add.
Click Add manually when the button appears.
Select Add printer using an IP address or hostname
Leave "device type" as the default: IPP Device.
Add the desired printer (can repeat steps for alternative ones in your working area later) by the IP address that corresponds with the printer name as defined in the table on this page.
For example: to add COLOR3 we would enter 155.52.45.53.
Click Next. As long as you're on campus connected to phswifi3 / ethernet, or connected with the VPN, you should now see "You've successfully added color3" or whichever other printer name you've added using the IP address. You can print a test page or click Finish to complete the setup / repeat the setup for another printer.
There are multiple RICOH scanners available to use in CLSB 11 by DFCI employees. These also function as printers and work especially well for B&W print jobs with a high number of total pages.
PLEASE NOTE: these scanners are managed by Partners Healthcare IS and the ability to administer them is limited for the Systems group. However, we have instructions on utilizing them below. Click here to submit a ticket to IS using ServiceNow.
You can find these scanners in the following locations, currently:
Near the mailboxes beside the Fishbowl conference room, CLSB 11065.
Left of the COLOR2 printer outside of CLSB 11056.
Longwood Center 5th floor staff can find their scanner in LC-5105D near the lockers and small conference rooms.
Swipe DFCI badge on sensor to the right of the scanner's digital interface. If you have not used one before, it may prompt you to enter your username and password. If so, enter your Partners MGB credentials and continue.
If this step does not work, please contact Systems or Partners IS with the error code that is shown!
Next, lift the top lid of the scanner and set your originals on the glass face-down as shown in the instructions on the top of the unit. Carefully close the lid again.
Select Copy to make copies of a page, or Send to Home Drive to create a digital file from the page as a PDF or image. Multi-page PDFs can be created if you need to compile to a singular document from more than one sheet.
Optionally, configure the scan settings if desired [in the Scan Settings tab] and give the document a distinct name if desired. It is advised to check off the Preview setting to see how the scan will look before submitting. You may now continue adding additional pages if you are compiling to a singular PDF file, or press Finish to submit.
Once the scan is complete, the device will beep repeatedly to indicate that the job is complete and you must Log Out or start a new scan.
To access your scanned documents digitally: see below!
When saving any scanned page(s) digitally with Send to Home Drive, your Partners home folder will need to be accessed to retrieve the files.
⚠️ NOTE: your Partners home folder is not the same your Data Science home folder, sometimes called a "Z: drive" or Unix home folder!
To access your Partners home folder, follow steps below depending on your device's operating system.
Open Finder and in the top-left corner of your display, select Go > Connect to Server or press Command ⌘ + K at the same time.
Enter smb://cifshd.partners.org/homedir$ (exactly as written -- you can copy from smb:// all the way to the dollar sign $ ), and click the + button to save as a favorite if desired. Next, press OK.
Authenticate using your MGB credentials and continue.
This would be the same as what you use to access DFCIOnline, UKG, WorkWell, PeopleSoft, etc.
You will now see your scanned document(s) in Finder and can copy them to your local hard drive as desired.
Open File Explorer and on the left-hand pane of your new window, right click This PC and select Map network drive.
Choose a drive letter. Enter \\cifshd.partners.org\homedir$ exactly as written (you can copy+paste that address from the \\ to the $), and click the + button to save as a favorite. Next, press OK.
Select "Authenticate using your MGB credentials and continue.
NOTE: To guarantee your username is being interpreted correctly by the server, select "use different credentials" and enter your username with the exact syntax as follows where 'abc123' is your own MGB username:
PARTNERS\abc123
or alternatively, if unsuccessful on first attempt:
abc123
You will now see your scanned document(s) in File Explorer and can copy them to your local hard drive or wherever else you desire.
See screenshots below for explicit examples to check for accuracy if you encounter any issues. Username is not case-sensitive, but the password is.
Right click "This PC" and select Map network drive...
2. Enter the address as shown above and select a drive letter (such as H: selected in the example, but does not matter).
3. Enter your MGB username and password. You may choose to leave out the prefix "partners\" if you are on your own device, but if you enter the username e.g. "az123" and it shows any sort of domain except for partners or partners.org, it is advisable to add the prefix in the username.
