Regulations governing the use of the Log Book include:
All required information must be recorded in a logical manner.
Always record what actions is taken and the dates they are done. If the action is not done on the date, specified record why it did not happen.
In the preparation of each Log Book, the prescribed format must be used
Entries must be made on a daily basis.
No reflections or opinions of a general or personal character are to be entered in the Log Book.
ALL entries are to be promptly made.
Each log entry must be accompanied by the signature and status of the member of staff who made that entry.
Shall be kept by every Nursery, Primary, Secondary, Multi-level School and Practical Instruction Centre.
It is the responsibility of the Headteacher to ensure that the Log Book is maintained as prescribed herein.
In the absence of the Headteacher, the most senior teacher, who assumes responsibility for the management of the plant, shaft make the necessary log entries.
Entries shall be made in the Log Book with respect to the following:
The beginning and end of school term.
The reason for closing of the school on all occasions on which it is closed
Change of teachers.
Repairs to the school
The receipt of circulars, rules, regulations and other documents.
The absence of any teacher from one or more sessions, or part thereof, together with the reason for such absence, and a statement of the type of leave and whether the teacher has obtained leave of absence or not, and the former, from whom.
Resumption or assumption of duty by staff.
Accidents at school; acts of break and enter and vandalism.
All serious breaches of discipline or neglect of duty on the part of any member of the school staff.
Instances of disciplinary actions taken against member of staff.
Inspection of the school
Use of school building, compound or other facilities by the members of the community.
All interruptions of school work by severe weather- heavy rainfall, flooding- epidemic dysentery, conjunctivitis, or any other reason, the cause being fully stated in each case.
Departure of any learner from school at the request of his/her parent/guardian, during school hours.
Visits to the school by senior functionaries of governmental/nongovernmental organizations and other agencies.
The conduct of staff, Parent-Teacher Association and other meetings, and staff development sessions.
Activities such as raffles, sporting events, workshops and field trips
Regulations governing the use of the Admission and Withdrawal Register include:
School Admission Register record the child’s name, dates of birth and admission, plus parents’ or guardians’ names.
The register of admission and withdrawal of pupil (learners) shall be kept in the form prescribed and shall show the date of birth, and the position in the school and complete to progress of every pupil; including those transferred from or to other schools, giving the dates and their respective divisions or year groups and/or grade, year by year.
When a pupil is admitted his name and date of birth shall be entered at once in the Pupils' Admission and` Withdrawal Register, and the necessary information entered in each column.
When a pupil is withdrawn, the withdrawal column of this registers hall at once be filled in with all the necessary information.
Promotions must also be recorded faithfully, at the beginning of the academic year by a member of the administrative staff
Regulations governing the use of Textbooks Inventory include:
ALL textbooks in the school must be accounted for.
The inventory should be compiled as per subject area.
An annual audit must be done of textbooks and a report made to the Head of Department of Education or School Board
Regulations governing the use of the Income and Expenditure Ledger include:
ALL monies received and expended on behalf of the school must be accounted for.
This account is subject to periodic audits.
ALL Bills and Receipts must be Safely kept
Income and Expenditure statements/reports must be circulated/read at P.T.A/P.A.C. meetings.
Funds raised for the school must be deposited in the P.T.A/P.A.C account. 'The finances must be managed by a Committee of three persons, two of whom must be members of the. P.T.A/P.A.C. The third person must be a senior member of staff of the school.
The finances of schools governed by Boards, would be managed as prescribed in the existing School Board Manual
The PTA/must submit two copies of its Income and Expenditure Statement for each month in the year. One copy must be kept by the school for circulation among the teachers who must sign and date same after reading it. The other must be endorsed by the Headteacher and forwarded to the Head of Department of Education as apart of the school's Monthly Report.
Regulations governing the use of the Minutes of Meeting include:
General staff meetings must be held on a monthly basis.
Parent Teacher Association Meetings could be convened on a monthly or termly basis.
Administrative, Departmental Divisional and year-Group meetings could be held fortnightly.
However adhoc meetings could be convened
Minutes must be submitted within seven (7) days after each meeting to the Headteacher.
These meetings must be documented using the prescribed format.
Regulations governing the use of the Code of Conduct include:
Teachers must be au fait with the contents of the Code of Conduct.
It must serve as resource material for the orientation of recruits.
The directives must be adhered to by all teachers.
Regulations governing the use of the Teachers' Attendance Register include:
The name of each staff member and his/her status must be recorded therein.
The entry of names must be reflective of a hierarchy.
In the attendance register each teacher must enter the time of his/her arrival at and departure from school in the morning and afternoon of each day - each entry must be made promptly.
If a teacher is absent the whole of a session, the Head, in his/her absence the Deputy Head,
Senior Master, or Teacher-in-Charge, must enter the word "absent" in the place for the time of arrival.
Teachers shall be in school at least fifteen minutes before the commencement of each session.
A Headteacher who is absent from duty must report his/her absence in writing forthwith to the
Head of Department of Education and must state the reason(s) for such absence.
Teachers must similarly report their absence in writing to the .Head teacher, or Teacher in Charge.
The name of each staff member and his/her status must be recorded therein.
The entry of names must be reflective of a hierarchy.
The names of teachers on secondment to the school must be recorded under the list of names of the bona fide members of staff
