PaperCut, a print management software, has been rolled out to all of the new copiers in each building. PaperCut does the following:
Allows you to print to any copier in the district (no need to pick which one to print to)
Prevents the loss of paper and secures your print job (copies do not print until you release the print job from the printer)
You will need to swipe your badge using the copier's card reader or enter your 4 digit code (found on your staff ID badge) in order to release your print jobs, create copies and scan documents.
From any document, web page, etc. use the shortcut key CTRL+P.
Select the Printer called Cohoes FM Printer on ccsdps
Optional: Use the Preferences button to make adjustments to the print job if needed, then click OK.
Click Print
Go to any district printer within 24 hours, login, and use the Print release option
Go to the copier in which you would like to print from, create copies, or scan documents.
Swipe your ID badge over the card reader (look for the red light to the left of the console).
If the card reader does not work or you do not have your ID badge you can also enter your 4 digit code which is found on the back of your ID:
1. Using the console, touch the empty field under ID number
2. Use the keyboard to enter your 4 digit ID and click OK.
The 4 digit ID number is found on your ID badge. Do not include the leading 0.
3. Click the Log in button
Log in to the copier (you can login to any district copier to release a print job)
If you have any print jobs pending, click the Print all button or Print release
When done, remember to use the Log out button to sign out of your account on the copier
NOTE: Jobs sent to the printer must be released within 24 hours of being sent or else they will be deleted and need to be resent.
Click Device Functions
If you see a screen that asks you to confirm your account, click Next
Choose your print settings and input the number of copies you will need
Click Start
When done, remember to use the Logout button to sign out of your account on the copier.
Note: Different copiers will have different options. For example, some copiers will have the option for color printing.
Click Scan
Choose Scan to My Email or Scan to my Google Drive
SCAN TO MY EMAIL
Confirm your email address is correct
Tap into the Subject field or Filename field if you would like to make edits to the text
Click Start
When done, remember to use the Logout button to sign out of your account on the copier
Check your cohoes.org Gmail account for the scanned file. The scan will be attached to the email as a PDF. Please allow up to 5 minutes for this email to be delivered although most will send instantly. Larger scans may take more time to be delivered.
NOTE: At this time you may only email documents to yourself. There will not be an option to add other recipients. Once you receive the scan you can forward it or download the scan and include it as an attachment in a new email.
SCAN TO MY GOOGLE DRIVE
Tap into the Filename field if you would like to make edits to the file name (you can also rename the file from Google Drive once scanned)
Click Start
When done, remember to use the Logout button to sign out of your account on the copier
The first time you attempt to scan to Google Drive you will receive an email with the subject "Authorize Scans for PaperCut MF to save to your Google Drive"
Open this email and:
Click the Login to Google Drive button
Choose your cohoes.org account
Click Continue
Go to your cohoes.org Google Drive and find the folder called "Scans for PaperCut MF". This is where your scan will be located.
Notes:
You can rename the Scans folder and reorganize it in Drive as needed
Once scans have been authorized to save to your Google Drive, subsequent scans will result in an email notification with the subject line "We've sent your scan "(filename)" to Google Drive. Click Go to your scan! or the attached file to view. You can also open the Scans for PaperCut MF folder in Google Drive.
Report any issues relating to paper jams, low toner, no staples to your building's Main Office
