Safeguarding and promoting the welfare of children is everyone’s responsibility.
CHS facilities are shared by a diverse mix of youth and adult organisations. All hirers must ensure their personnel are aware of the shared environment and maintain the highest standards of conduct.
Group Type Mandatory Supervision and Conduct
All Groups (Mandatory Rules) Professional Conduct: All personnel must maintain high standards of
conduct; inappropriate language, behaviour, or unsupervised access to
children is strictly prohibited.
Facilities: Adult and children toilet facilities are clearly marked and must not be shared.
Adult-Only Groups Instruct all members and visitors to be aware of children on the
premises and follow safeguarding best practices at all times.
Groups with Children Active Supervision: Guardians must actively supervise children at all
times, especially in shared areas like changing rooms and toilet entrances.
Supervision Ratios: Hirers must ensure appropriate supervision ratios
are maintained and that no unsupervised access or interaction occurs
between their group and other site users (including CHS pupils).
If your group involves Children or Adults at Risk, you must provide the following documentation and confirmations as part of your Hire Agreement before the letting commences.

Designated Lead Your nominated Safeguarding Lead (must be available on-site during
all sessions).
Vetting & Checks Confirmation that all staff and volunteers have an Enhanced DBS
which covers working with children, and can supply details upon
request.
Confirmation that coaches/staff have undergone an identity check
and have the right to work in the UK.
Training Confirmation and evidence that staff have undergone mandatory
safeguarding training (including reading Part 1 or Annex A of Keeping
children safe in education (KCSIE)).
Confirmation that all personnel know how to report a safeguarding
concern*.
Policies Your Safeguarding Policy, Allegations/Complaints Policy, and Risk
Assessments (including emergency plans and safeguarding risks).
Your Code of Conduct for Staff/Volunteers (including policy on one-to-
one contact and behaviour management).
A Code of Conduct for players and parents/participants.
If you have any concerns raised involving an activity on site, our team MUST be informed immediately for urgent matters, and formally notified within 24 hours.
When reporting an incident, you must include: Who, Time/Date, What happened, and Action taken/Next steps.

Allegations: If we receive an allegation, the concern will be managed in accordance with CHS’s Allegations Management Procedure. The DSL will inform the Local Authority Designated Officer (LADO) within one working day, as required by statutory guidance.
Monitoring: We will inspect safeguarding documents periodically and may conduct spot checks to ensure compliance.
Termination: We reserve the absolute right to terminate or suspend any hire immediately if safeguarding requirements are not met.
