Long Term Substitute Procedures

1) The school secretary fills out the district security form for the long-term substitute. This form needs to be signed by the principal with the ending date for the long-term substitute assignment, and then faxed to the Help Desk at 548-6003.

2) Help Desk will create a computer log on account, configure the computer (desktop and/or laptop), set up an email account for the long-term substitute, and set up an Aeries.net account, if needed.

Once the sub is the teacher of record, they will have Illuminate access for assessments.

Teacher New to the District

1) The school secretary fills out the district security form for the new teacher. This form needs to be signed by the principal and then faxed to the Help Desk at 548-6003. Help Desk will also set up the Aeries.net account, if needed/requested.

2) Once the security form has been submitted, Help Desk will set up the user accounts such as Active Directory, email, Aeries.net (if needed), etc. The new teacher contacts the Help Desk at Ext 1170 to set a network password. (If a device is sent in, Help Desk will also set it up for the new user.)       

3) Illuminate accounts for new teachers are set-up within two weeks automatically. Please ask your site administrator for assistance.

Please direct them to the Staff channel at the top of all district and school websites where they will find many helpful links.


Current Teachers New to a Site

2) The teacher contacts the Help Desk at Ext 1170 if there is a computer (desktop and/or laptop) from the site that needs to be set up for them.

3) The teacher contacts one of the technology trainers to move their school site on Blackboard. techtrainers@chino.k12.ca.us or ext. 1600  Please provide name, former school, and new school site.

4) Illuminate accounts update within 10 days automatically. Please ask your site administrator for assistance.

This add-in works in Outlook and in the portal. It allows you to suggest times for a meeting and emails attendees with a poll feature to say what time they prefer to meet, a time they can meet, or a time they are unavailable. Once people vote, the system automatically chooses the best time and emails attendees.

You can create forms and permission slips in ParentSquare. There are pre-built templates, digital signatures, built-in translation, mark completed forms manually for parents, send reminders to non-responders, allow for attachments, and more!

A newer feature in ParentSquare lets you create appointment sign ups, perfect for conferences, IEPs, and more! They have provided a video and step by step screenshots on how to create an appointment post.

1. From your full-sized calendar in the portal, double-click on the date for which you would like to book a room.

2. Type Event name and select time.

3. Then for Location, select the button to the far right.

4. Select room from drop-down menu. (*If room is not listed, it has already been booked for that time.)

5. Once Location field is populated, add the event name AGAIN in parenthesis next to Location, along with your extension. Doing so will allow calendar room administrators to see the event name and your extension should they need to contact you.

6. Click and you're done! You will receive an email confirmation.

* To cancel your room reservation:

1. Open the event you would like to cancel.

2. Click Cancel. You will be asked if you are sure you want to cancel the event. Click Yes.

3. Send the request and you’re done!
