Communications
Communication is more than just sending event invitations. It's recurring newsletter emails that include updates on the board, plans for the future, upcoming events/save the dates, recaps of recent past events, and resources/alumni spotlighting. Also, social media to connect with alumni where and how they prefer, as best you can, and is easily transitioned to the new alumni volunteer board. See Marketing and Communication Section.
Board Recruitment/Management
This is something that is going on throughout the year. Through events and consistent communications with the board and with the alumni, you create transparency that engages and encourages interests in continued interest in being on the board or joining the board Any open positions should begin being advertised in late winter, February and early spring, March. This allows time to schedule onboarding and support with current board members before the transition on July 1.
Events
The programming you lay out from casual picnic meetups to more formal speaker/panel events. See the Event Planning Section.
Maintaining a board and fostering talent and excitement among its members is quintessential to a successful club. The board members should feel involved, included and informed. The best way to do that is through maintaining a consistent and open process of maintaining a well-managed board. The first step in that is your recruitment and onboarding process.
Decide your timeline
Makes sure the information on the board, including expectations and open roles are up to date
Begin promoting that self-nomination is open
Coordinate a schedule for the board members working on recruitment for decisions
Once decisions are made, Onboarding Meeting/Retreat
Onboarding new members is an essential component of the transition process to allow the hard work of the current volunteers to continue with new members. This is also a valuable tool for current and continuing members to have a chance to reflect, share and reconnect with each other at the start of a new year. The best way to begin this process is with a board retreat!
When you begin your Kick-off meeting of the new fiscal year, think about the whole year and the 3 key components. This will set the stage for the upcoming year for long-standing and new board members. There are times you will be bringing events to the community, curating communication and social media content in place of in-person events and times when you will focus on the board's growth and recognizing their work. Keeping clear tracking and organizing principles will help alleviate feeling overwhelmed and under-supported and allow board members clarity and confidence to push forward with their ideas and planning. This also builds a history and background for current and future members.
