2022 Monthly Calendar Dept Chair

Recurring Tasks

    • Academic Leadership Council Program (monthly on either Tues or Wed, 8:15-9:45)

    • Chairs Meeting with College Dean

    • Department meetings

    • Approve EAF’s

    • Approve budget transfers

    • Approve travel and expense requests

    • Review Transfer Equivalency System (TES) requests

Daily Tasks

    • Approve time.

Biweekly Tasks

    • Approve human resource transactions for biweekly employees.

    • Deans/Department Heads make thank you calls to donors; names provided by Development Staff.

Monthly Tasks

    • Approve P-Cards (paper and online)

Intermittent

    • Write letters for faculty: grants, awards, etc.

    • Approve grant applications

    • Respond to requests from Dean, other units

    • Review policy document drafts, as requested

Once a Semester

    • Remind faculty to enter info in Faculty 180 by deadline

    • Summer Due Dates

      • Cancellations for summer courses

        • 7 week 2: ~June 5th

        • 5 week 2: ~June 15th

    • Letters of Appointment (LOAs) due to Dean for Fall adjuncts: mid-July

    • Office assignments for Fall

    • Fall Due Dates

      • LOAs due to Dean for Spring Adjuncts: Late November

      • Sept-Oct: Promotion and Tenure Interviews; Chair letter & dossiers due to COAS Oct 15

      • Office assignments for Spring

      • Various faculty award nominations due throughout term

      • Special Course Fee requests

    • Spring Due Dates

      • February: meet with Assistant Professors for annual P & T review; attend P & T interviews

      • Budget planning documents: depends on what the Administration requests

      • March 15: annual evaluations due to faculty

      • March 31: annual evaluations due to Dean

      • CEC increases due to Dean anytime between April and May

      • Cancellations for summer courses

        • 3 week 1, 7 week 1 and 14 week: ~April 20th

        • 5 week 1, 10 week: ~May 10th

      • May: send requests to potential external reviewers for candidates applying for tenure/promotion in Fall

Program Assessment Report Timeline for Departments

  • August – September

    • Departments with reports due are notified.

  • September – February

    • Prep meetings, consultations, and workshops held for department Representatives.

  • February – April

    • Peer review team will be recruited and trained

  • May 1st

    • Program Assessment Reports due in the month of April, by May 1st

  • May – June

    • Review Period*

  • June – August

    • Feedback assembled and provided to departments*

  • August – September

    • Departments discuss feedback and next steps.

  • October 1st

    • Departments submit a brief follow up report of the discussion and summary of actions to be taken.

  • October 15th

    • PARs and follow-up reports posted to the website; summary reports shared with dean, provost, and other administration /governance as appropriate.

* Denotes administrative duties handled by the Office of the Vice Provost for Academic Planning or Institutional Research.
