Compliance with BHI Policy: When reporting an incident, it is imperative to comply with the guidelines set forth on the BHI incident management page. These guidelines are designed to ensure consistency and thoroughness in how incidents are reported and handled.
Filling Out the Form:
Complete All Fields: Make sure to fill out all fields in the incident report form. Each field captures essential information that is crucial for a comprehensive understanding of the incident.
Utilize Search Bar Pickers: Search bars are utilized to pull employee or asset data that is stored in EHS insight. If employees or assets do not show up, clear the search bar and populate the fields manually. Leaving text in the search bar prevents incident submission.
Attach Necessary Documentation: It’s important to attach all relevant images and documents to your report. This includes photographs of the incident scene and any relevant physical conditions or equipment involved.
Include Witness Statements: If there are witnesses to the incident, attach their statements as part of your documentation. Witness accounts can provide valuable perspectives that may not be apparent from physical evidence alone.
Submission Process:
Avoid Drafts: Ensure that the report is fully completed and submitted. Leaving reports as drafts can delay response times and follow-up actions.
Confirm Submission: After filling out all parts of the report and attaching necessary documents, confirm the submission to make sure it has been properly entered into the system.
In EHS Insight, user access is managed through predefined security groups, each with specific permissions tailored to the user's role within the organization. These groups are established and controlled by the Director of Environmental Health and Safety to ensure that each employee has access to only the necessary information and functions for their role. This structure helps maintain the security and integrity of sensitive data.
Security groups determine a user’s ability to view, submit, edit, and administer various aspects of the system. Access levels and group assignments are reviewed and adjusted by the Director of EHS to ensure that all changes uphold security standards. This streamlined approach not only safeguards the system but also enhances operational efficiency by clearly defining user roles and responsibilities.
To effectively manage the EHS Insight platform, Christian Alexander will serve as the system administrator. He will be responsible for overseeing the setup and daily operations of the system, ensuring that it functions smoothly for all users. If you encounter any issues with logging in or navigating through the system, Christian is your go-to contact. Additionally, he will provide support with usage difficulties and offer training sessions to help users fully leverage the capabilities of EHS Insight.
