Control what you share (and don’t share)
Close or minimize windows other than what you plan to share
Helps you better able to navigate quickly to what you want to share
Helps prevent unintentional shares
Use “Advanced” sharing options to share audio only, content from a second screen, or part of browser window
Prevent others from sharing their screens
Under “Schedule Meeting” settings, you can select “Mute participants upon entry”
Under “In Meeting (Basic)” settings, you can choose whether only the host(s) or all participants can share their screens, or share their screens when other attendees are screen sharing
Share multiple windows or programs at once
Users can select multiple desktop programs at once for sharing, instead of sharing their entire desktop. Other programs and unoccupied areas in the desktop will not be visible to the viewer
To share multiple programs or windows, go to the “Basic” tab and hold the shift key (or hold control + shift) while selecting windows to share
Anything that cannot be shared simultaneously (whiteboard, desktop, etc.) will be greyed out and not selectable:
On the right is the participants’ view of the same shared browser and finder windows. Note the rest of the presenter’s desktop is not visible. Any space outside the shared windows on the shared screen that would show desktop is instead blacked out.
Enabling simultaneous screen sharing as the meeting host
You can change the default screen sharing option from one to multiple participants being able to screen share at same time:
1. Start your Zoom meeting as the host
2. Click the green upward arrow to the right of Screen Share
3. Then select Multiple participants can share simultaneously
Any participants (including the host) using the Zoom desktop client can click Share Screen to begin sharing. Even if someone is already sharing a screen, another participant can begin sharing
Depending on their setup, participants will see the following:
Participants using dual monitors can see the two most recently shared screens on each monitor
Participants using a single monitor see the most recently shared screen. Participants can select View Options to change the screen they are viewing
Participants using the Zoom mobile app see the most recently shared screen. They cannot change the screen they are viewing
As the host, you can choose to switch to the option One participant can share at a time for any portion of the meeting. See the instructions on how to share a screen when only one participant can share at a time
Sharing computer sound during screen sharing
Zoom screen sharing allows you to share the desktop, window, application or audio/video
Zoom allows you to also send computer audio to the remote attendees when sharing a video or audio clip
To share computer audio such as YouTube, Pandora, etc. during screen sharing, click on Share Computer Sound
Sharing whiteboard and other screen at same time
Use an auxiliary device (tablet) to allow you to share both whiteboard and other screen (e.g., PPT slides) simultaneously
E.g., start the meeting from your desktop and then also join from a laptop, tablet, etc.
Switch between participants screen shares
Participants can access/switch between screen share view options at top of screen; see image on right:
Attendees can also enable dual monitors under their Settings to view multiple shared screens
Side-by-Side Mode
Participants who are viewing a shared screen can switch to Side-by-side mode
This enables them to see the shared screen alongside either the Speaker/Gallery View, depending on chosen view adjust the location of the separator between the shared screen and video to change the relative size of each side
When in a meeting and viewing a screen, click on View Options and choose Side-by-Side Mode
The shared screen will appear on the left and the speaker will appear on the right. Slide the separator to the left or right to adjust the size of each view
Click Speaker View or Gallery View at the top to switch between the two
To exit Side-by-Side mode, click View Options, then uncheck the Side-by-Side Mode option. The video of the speaker will now display at the top of the screen, with the shared screen in the center of the window
Enter Side-by-Side Mode automatically:
1. Click your profile picture then click Settings
2. Under the General tab, check Side-by-Side Mode
3. Zoom will automatically enter Side-by-Side mode when someone starts screen sharing
Sharing presentation slides as a virtual background
Users can select a PowerPoint or Keynote file to use as their virtual background (vs. sharing via web browser) and impose their video over their slides for a more dynamic presentation experience

To share a presentation slide as your virtual background:
Click “Share Screen” located on your meeting toolbar
Select the “Advanced” tab (default in “Basic”)
Click “Slides as Virtual Background”
Browse and select your PPT presentation file
Click “Open”
Once the presentation has been imported, the slides will be shown as your virtual background

Pixelated Screen While Screen Sharing Video
If participants are experiencing pixelated or distorted screen share quality, try ticking the “Optimize for Video Clip” option in your Zoom “Basic” tab screen share settings before sharing your screen:
Limitations
Zoom Rooms and participants using the Zoom mobile app can only share if no one else is sharing
In Zoom webinars, only hosts and panelist can speak and share their screens
When you enable the option to share multiple screens simultaneously, the options Share computer audio and Optimize for full-screen video clip are not available
Computer sound cannot be shared while multiple screens are being shared
Side-by-side mode does not work if the dual monitors setting is enabled
Slide sharing in virtual backgrounds
Requires Zoom client v. 5.20 or higher
Anyone using an older version will only be able to present or view in normal sharing mode
Sounds, transitions, and animations in slides are not supported
