What is BEDS?
BEDS stands for Basic Educational Data System, essentially a census for school districts in New York state
Why Collect this Data?
New York state uses the data collected to determine state funding. Based on enrollment at a particular time, schools may or may not lose money based on student enrollment and staff hiring
What is BEDS Day?
BEDS Day is the opening of the portal for districts across the state to begin entering all the information about the current status of the school, this includes everything from enrollment to the number of library books to the amount of technology on hand. For teacher reporting, it's also about where they report, their certification, how many years they've worked, what grades or subjects they teach, and their salaries.
How to Access Portal for Reporting
To ensure data security and confidentiality, BEDS Online users must have a registered UserID and password. The Department uses the SED Delegated Account System (SEDDAS) to manage access to Web-based applications available through SED’s Business Portal.
To complete the BEDS form, go to NYSED Application Business Portal and click on the IRS Data Exchange (IDEx) link.
What Date does the Portal Open?
BEDS Day for Fall 2022 is October 5. This marks the beginning of the cleanup of data. The window for cleanup is usually approximately six weeks
What date is our Snapshot Taken?
BEDS Online forms should be completed and submitted to SED by Friday, November 18, 2022. This is our snapshot day.
What is Title I Funding?
This federal program provides supplemental financial assistance to school districts/schools with a high percentage of children from low-income families, to provide all children a significant opportunity to receive a fair, equitable, high-quality education and to close educational achievement gaps.
How does SCSD use Title I Funding?
SCSD uses Title I Funds in many of the following ways
Supports for Title I Students:
• AIS, RTI, and credit recovery services • Certified teachers and teaching assistants • Proportional benefits for Title I salaries • Counseling, school-based mental health programs, specialized instructional support services, mentoring services, and other strategies to improve students’ skills outside the academic subject areas • Equitable services for private school students • Pre-K, summer, and extended day programs • Transportation for Title I programs if not otherwise available
Title I Parent and Family Engagement:
• Parent liaison or coordinator • Family engagement consultants • Stipends for staff to plan for or participate in Title I activities outside contract hours • Costs for activities including materials, transportation, childcare, and light refreshments
Title I Program Supplies and Materials:
• Instructional materials for Title I programs • Computer aided instructional software for Title I programs • Diagnostic and progress monitoring materials for Title I programs
What are the Title I Funding Requirements?
Each school that receives a Title I allocation must:
Hold the meeting at a convenient time for parents at the school.
The meeting should include topics such as a brief explanation of the Parent and Family engagement policy, the funding amount for the school and what that funding supports and to explain the Title I, Part A requirements and the right of parents to be involved in those programs.
The meeting should be integrated/part of an existing back to school meeting (should only be about a five to maximum ten minute section) so that the participation is high
Have parents sign an attendance sheet (example), has an agenda and meeting announcement and the each school keeps this information on file.

Data Requests:
As mentioned in the daily announcements, the Data Team is processing Infinite Campus issues/questions and Data Requests as well as Classlink through Let’s Talk. This allows the Data Team to efficiently monitor requests and ensure timelines are met.
Now that students have become more adjusted to the school year and their routines, we want to remind our students and families to start preparing for the weather changes. Hats, coats and gloves may be needed for these cold morning walks to school or waiting at the bus stop.
Please keep in mind it will become darker in the early morning and in the afternoon as we continue into Fall. There can be poor visibility during these times, so ensure that your students are standing or walking on sidewalks and away from the road.
It’s very important that students are alert and are paying attention to their surroundings during this time. We want to make sure all of our students are safe, so please make sure students are paying close attention to these seasonal changes.

New Business:
New Registrations continue, but are slowing down some.
We still have some open Pre-K spots for specific schools and are trying to fill them.
Why is clicking on "No Show" potentially hurtful to the District?
When we mark a "no show" for a student, this data is reported to the State as a student who has been scheduled to attend but has not. The student is essentially, unaccounted for, but remains OUR student even if they attend for only one day. It is the job of the district to do its due diligence to locate these students and the State questions us as to the steps we have taken to find them. If we don't try to locate the student, they can potentially count as drop outs and that affects cohort graduation rate. False dropouts, dual enrollments, and overlapping records can also have the same consequences.
Secretaries must NOT mark 'No Show' unless instructed by Jason Belknap or Katy Vacca as we need to be sure all students have been enrolled in another school district.
Secretaries can Unmark a 'No Show' when the student has entered the building and you are ready to enroll and put in a schedule.
Please send ALL no-show students and withdrawals to Katy for investigation and determination of status.

2022-23 Online Professional Learning Catalog Released

The Field Support Team is expanding access to its professional learning opportunities for the upcoming year by offering professional learning without requiring schools to participate in a year-long CSI support model.

2022-23 TSI Support Visits
Audience: District Leaders supporting schools identified for TSI; School Leaders of these schools
Districts with schools identified for Targeted Support and Improvement will continue to be responsible for monitoring the implementation of the 2022-23 TSI SCEP through SCEP Support Visits, as they have done in previous years.
For the 2022-23 school year, the number of SCEP Support Visits has been reduced from 5 to 4, so that these visits occur quarterly. Those familiar with the previous model will note that the first visit and second visit have been combined into one visit, so that the focus group portion now occurs in the first visit.
Please refer to the attached documents for more information about TSI SCEP Support Visits. Also included among the attachments is a report template for the different visits.
2022-23 New Support – Assistant Principal Mentoring Program
Audience: Schools identified for CSI
The Field Support Team is pleased to announce the a new Assistant Principal mentoring program for schools identified for Comprehensive Support and Improvement.
Please share the attached program description with any school identified for CSI in your district to discuss if the program would be of interest. Before registering, please review the criteria and confirm that Assistant Principal would be able to commit to the year-long program.
Those interested in participating in the program will need to complete the Interest Form by October 6.
Fall Leadership Summit
Audience: CSI / TSI Principals (note: this event is designed for current principals)
Field Support Team will be hosting a Leadership Summit on Tuesday, November 29, 2022, at the NYSED Cultural Education Center in Albany from 9:00 a.m. to 3:30 p.m.
This is an opportunity for principals of schools identified for CSI and TSI to learn from each other, and network and collaborate with other school leaders from across the state.
Activities to include breakout sessions led by school leaders on current topics schools are facing across NYS and opportunities to discuss the implementation and monitoring of SCEPs.
