Burlington English Integration
LACES has integrated with Burlington English in an effort to both alleviate data entry efforts and provide agencies the ability to search for Burlington English specific hours and analyze their impact on performance measures. Instead of manually entering Burlington English hours as Distance Learning, the integration will identify and automatically import Out of Class hours that were earned in Burlington English, represented in LACES as the Hours Type Burlington English Instruction - Distance Learning.
IMPORTANT NOTE: Burlington English Instruction - Distance Learning Hours count towards a Period of Participation and hours required for post-testing.
Integration Schedule and How Hours are Imported
Hours are imported every Sunday night at 6:35 pm MST. Time will be rounded based on the requirements of the State client.
In order for Burlington English Out of Class Hours to import, Students must match on the following data points in both Burlington English and LACES:
BE Username – a new field added to LACES for clients who use the integration. This field can be found in the Student record in the Education tab. Users can manually enter the BE Username in the Student record or it can be added for several students using the Student Integration ID import found on the Import Data page. Click on the Student Integration IDs link to download the template.
Classes in which Students with a BE Username are Enrolled in both Burlington English and LACES.
Details on Matching
Students earning out of class hours via Burlington English must have a BE Username in LACES that matches their Username in Burlington English and they must be Enrolled in a Class in LACES with a Title that matches their Class Name in Burlington English. If the Class names between the two systems do not match, either the Class Title in LACES must be updated to match the Class Name in Burlington English or vice versa, so long as the Class Title/Name in both LACES and Burlington English are an exact match. Time will not import if one of the criteria is missing or incorrect.
Please note: An Agency could have more than one Burlington English class (see below for additional details); however, it is discouraged to have Students Enrolled in more than one Burlington English Class in LACES if the Classes have different Start and End Dates as it could cause unintended consequences, such as hours duplication. Hours that students earn in Burlington English are automatically assigned to all of the Classes in which they are enrolled in Burlington English; however, this may not be the intention in LACES.
Sites (if applicable)
Some Agencies use Sites in Burlington English and LACES. Agencies that are configured for Sites must ensure that the Site in the LACES Class lines up with the Site in Burlington English. Sites in LACES can be set up during Class Intake or updated in the Class details > Class Data. If your Site is not listed in the Site Choice List, it can be added in the Agency Settings > Sites tab.
Details on How the Integration Handles Multiple Classes
The Burlington English integration has received important quality of life updates. It is now more discerning whenever there are students enrolled in multiple Burlington English classes. If a student is enrolled in more than one class with the same Title, Start Date, and End Date, hours will only be added to the most recent Enrollment. This is done to prevent unintended hours duplication.
For example, Student A is enrolled in two classes called ‘BE Fall 2025’ and both have the exact same Start and End Dates. The first Class was created on 7/01/2025 and then it was later duplicated with the same dates and same enrolled Student. When the integration runs, hours will only be added to the latter Class because it was the most recently created.
Pro Tip: if the Start and End Dates are different across classes, even if the Title is exactly the same, make sure one of the classes is no longer Active (i.e. Completed). If the dates are different, the integration assumes they are different classes and hours will be added to each Class, accordingly.; however, it is discouraged to have Students Enrolled in more than one Burlington English Class in LACES as it could cause unintended consequences, such as hours duplication. Hours that students earn in Burlington English are automatically assigned to all of the Classes in which they are enrolled in Burlington English; however, this may not be the intention in LACES.
Additional Notes on Burlington English Hours
Hours imported from Burlington English appear as "External" and cannot be edited or deleted. If BE hours should be deleted, please reach out to technical support.
The integration “looks back” 14 days from when it runs – this means that any time earned in Burlington English earlier than 14 days prior to the integration running should be manually entered in the student record; however, if needed, LACES can manually run the integration to look further back than 14 days.
The following calculations are used to round the hours prior to import to LACES (unless no rounding is requested):
0 - 7 minutes and 29 seconds will not import in LACES
7 minutes and 30 seconds - 22 minutes and 29 seconds will import as .25 in LACES
22 minutes and 30 seconds - 37 minutes and 29 seconds will import as .50 in LACES
37 minutes and 29 seconds - 52 minutes and 29 seconds will import as .75 in LACES
52 minutes and 30 seconds - 1 hour, 7 minutes, and 29 seconds will import as 1.00 in LACES
1 hour, 7 minutes, and 30 seconds - 1 hour, 22 minutes, and 29 seconds will import as 1.25 in LACES
