Clients who enter CASAS assessment records into TOPSpro may export those records and import them into LACES. The "TOPSpro" Import was originally designed for those particular clients so the LACES import column headings matched the column headings exported from TOPSpro.
Clients who do not export from TOPSpro but simply want to import CASAS assessments into LACES may use the "Assessments (Generic)" Import instead of creating an import file with the TOPSpro column headings, but either import may be used to import CASAS assessments.
The "TOPSpro" Import may only be used at the local ABE or independent literacy agency. The import cannot be used at the state client SEA agency, however, ALL imports done at local ABE agencies display at the Imports area at the SEA agency in state clients only.
Getting started:
Export the CASAS assessment scores from TOPSpro.
Make sure the file is properly formatted with the required columns. The import file may contain additional TOPSpro columns, but the following columns are required to be on the import file and data is required for each column.
Save the file in the .CSV format.
Typically the import file is created by exporting from TOPSpro, however, the user may create their own import file.
You may download the template from the LACES Imports Data page, after selecting the Import Type "TOPSpro." The template only includes the required fields.
IMPORTANT NOTES:
The import file MUST be in .csv format. Files with the .xlxs extension will NOT import.
The column headings must be EXACT.
Forms 27R and 28R import as CASAS Life and Work Reading.
Exact records on the import file will NOT import again.
A record with the same testdate will not be imported again, even if changes to the rawscr or scalescr columns are made. For example, an assessment was imported with the testdate 8/1/2024, scaled score 200, and raw score 4 . The import file was edited with a different scaled score and raw score and re-imported. The existing assessment record will not be updated but instead the message "Assessment already exists" displays at the Import record on the Import Messages tab.
Imported CASAS assessments display External Import = No on the student assessment grid.
The TOPSPro import is NOT available at the SEA. It can only be used at the local agency.
Importing the file:
1. Sign into the agency.
2. Under the Additional menu, click Imports then click the Import Data button.
3. From the Import Type drop-down list, select "TOPSpro."
5. Click "Select File."
6. Locate the import file on your computer and click Open.
7. Click the Import button. A message will display indicating that the import is queued and you will be take to the Imports grid where you can check the status of the import.
The import cannot be undone once the import process is complete, so it is important to make sure your import file has the correct data. Assessments imported in error must be manually deleted in the student record.
