Google Takeout
What is Google Takeout?:
Google Takeout is a tool that lets you download a copy of your data from various Google services, like Gmail, Drive, and YouTube. It's like packing your digital belongings for safekeeping or transferring them elsewhere. There are two methods of using Google takeout. The first method is to just transfer your Schools data to your own personal Google account. This is the easiest method. The second method is to have google package up all of your data and create .zip files that you can download and place anywhere.
Method 1: - (Transfer School Google Account to a Personal Google Account) – Easiest
This method allows you to download the two most important Google services only. Google Drive and Gmail.
Head to https://myaccount.google.com
You should see a box centered on the page called “Transfer Your Content”. Click the blue button that says “Start Transfer”
In step one of this transfer wizard, enter the personal google email address you will be transferring your district data to. Then click the blue “Send Code” button. It may take a few minutes, but you will receive an email with instructions to get a code we will use on step two of the transfer wizard.
Open up your personal email and open the email from Google that has the subject “Verify Your Account”. Click the blue button that says “Get Confirmation Code”
Take the confirmation code you got from the email and pop it into the Google Transfer Wizard and click the blue button to proceed to step 3 of the wizard.
Make sure the toggles are on for both Drive and Gmail if you want to transfer both of these services and click the blue “Start Transfer” button.
Once you start the transfer it will take some time (Typically google states 6-10 hours if you have 150 GB worth of file)
Method 2: - (Download Google Account as .zip files) - Gathers the most data
Select the Data to Download
· Visit the Google Takeout page: https://takeout.google.com
· You'll see a list of Google services you use. By default, all are selected.
· To download everything, leave it as is.
· To pick specific services, click "Deselect all" and choose the ones you want.
Choose Delivery and Export Options
· Scroll down to "Choose destination and format."
· Select how you want to receive the archive:
o Send download link via email: Google will email you a link to download the archive.
o Add to Drive: The archive will be saved to your Google Drive.
o Transfer to another service: You can link cloud storage services like Dropbox and OneDrive for transfer.
· Choose the archive format: ZIP (default) or TGZ.
Set Archive Size (Optional)
· Google Takeout may split large archives into multiple parts.
· If you have limited storage space where you’re transferring your WVSD account to, set a maximum size for each part.
Create the Archive
· Click "Create export" to start building your archive.
· Depending on the data amount, this may take some time. Google will notify you via email when it's ready.
Download or Transfer Your Archive
· Follow the instructions in the email to download the archive or access it in your chosen destination.
Tips:
· Explore the "Advanced Settings" option for some services to select specific data to download within that service.
By following these steps, you can easily use Google Takeout to download and save a copy of your important Google data.
