Forward ZOHO mail to Gmail

Want to link ZOHO mail with your Gmail? That's mail forwarding and ZOHO Mail does supply this feature.


NOTE:

  • Although this guide seems to offer convenience, you must comply to your company / team policy. If your company doesn't allow a mail forwarding from a business email to personal email, please respect it.

Select Settings and then Email forwarding and POP/IMAP

1. In your ZOHO Mail, select "Settings", then "Email Forwarding and POP/IMAP"

This will bring you to a new popup to the email forwarding configuration page.

2. Fill in the information for Email Forwarding

You can now fill in the gmail account you wish to forward to. Then decide whether to leave a copy in ZOHO or delete it (usually delete it for saving space).


Then enable POP and IMAP. Make sure you include delivering spam mail and expunge messages since you're probably won't be visiting ZOHO Mail moving forward.


An forwarding email verification mail is already on its way to your Gmail account. Don't close this window, open a new tab and proceed to next step.

  • Take note about the POP configuration details and IMAP configuration details. We'll need it for gmail linking later.

3. Get The Confirmation Code

Check your Gmail for a email forwarding confirmation code. Remember it since we need to verify on the ZOHO account side.

4. Verify the Email Forwarding with the Confirmation Code

Head back to your mail account. Select the "verify" button and provide the confirmation code you found from the email. If everything is set correctly, your ZOHO account will now forward all the emails to the designated Gmail account.


You can now test the ZOHO forwarding mechanism by sending the email to the ZOHO address then observe if the email is appearing on the Gmail side.

5. Head back to the ZOHO Mail and Enter to Your Account

We now want to enable the "Send As ZOHO email" mechanism for the Gmail account. To open your account, select the Profile picture, this will give you a small user badge with "My Account" link. Select that to enter to your Account Settings.

By default, ZPress enables 2-factor authentications for your ZOHO organisation so you will have to get an app-specific password.

Since we need a 1 time password, let's go ahead and select the Manage Application Specific Passwords.

8. Get the 1-time Password

You'll be immediately prompted for creating a 1-time password. Just enter the App Name (E.g. "Gmail Forwarding") then enter your password. A password will be presented to you one time only. Keep this tab or the password.


Let's proceed by a new tab with your Gmail.

9. Setup Your Additional Email Address

Let's go to our Gmail "Settings", then select the "Account and Import" tab and lastly, "Add Another Email Address".

10. Setup Your ZOHO Mail Appearance in Gmail

This step is to setup the Email appearance for your Zoho "Send As" email account. If you're running a business account, you are strongly encouraged to name the account with your real full name.


Then fill in ZOHO mail address and uncheck the "Treat as an alias". Proceed to next step once you're done.

11. Setup the Login Credentials

Now fill in the form using the correct information then Add Account.


For SMTP, remember the IMAP and POP notice from Step #2? this is the place where you want to insert it into the form. Based on this example, the outgoing server is given as "smtp.zoho.com", port 465, fill in and change accordingly.


For Username, fill in your ZOHO username.


For Password, remember the 1-Time password from Step #8? That's the password you're going to use. DO NOT USE your account password as the ZOHO 2nd Step Authentication is going to fail the system login.


Ensure that the connection is SSL (as mentioned by the IMAP notice from Step #2.

That's It

That's it. Your Gmail can now send as ZOHO mail. However, please do note that it requires Gmail some times to actually make the account available for you. (roughly a few mins).


To send using your ZOHO account, just select the FROM on your email compose and select the account you desired.
