Nordic Booster Club Meeting

Review of Finances/fundraising:

·        Booster club membership was renewed.  Cost $320.00

·        Raised $1,000 from Give to the Max?

·        Welcome pizza party cost $450.00 (paper supplies, pizza)

·        $4987.00 left to use from all fundraisers.

·        Jessica recommends 1 more Cub food bagging fundraising event. She will work on this and try for Feb.

·        It was decided that the boosters will create a script that skiers can use to email relatives as an additional fundraising opportunity.  In the email it can spell out what the money will be used for.  Eric will complete the script.

·        Heggie’s:

o   Pizza ordered placed 2 days ago.  Money was placed in the Booster account

o   Pizza’s arrive Jan. 6th at 5:00pm. Eric and other skier parents will help distribute

o   $150.00 spent on paperwork for pizza fundraiser

o   One pizza order was turned away as it was turned in too late

o   Will make $2,000 from this fundraiser (this is $500 less than last year)

Banquet: 

·        Organizer: Peggy Skiba

·        Peggy will send out “save the date” to Skiers/families.  Original date of March 1 will not work.  The banquet will now be March 2, 2025.

·        Volunteers are needed. Peggy to put out an ask for help:

o   Door prize Volunteer(s)

§  This needs to be started early as it takes time to contact/follow up with organizations.

§  If receive donation of roller skis Coach would like them to be classic’s

o   Decorations: Colleen Cran

·        Will plan on Red Luna catering again this year.  Peggy will contact them for pricing.

 

 

 

 

Wax parties:

·        Organizer: Laura Rogers

·        Dates

o   January 6th: ALL SKIERS

o   January 9th: Mesabi meet. Smaller group of skiers are participating. Jessica will send out a note to the families of those skiers who qualified for this meet to see if they would host.

o   January 14th: ALL SKIERS

o   January 28th: ALL SKIERS

o   February 5th: THOSE PARTICIPATING IN SECTIONS ONLY.  Booster club to ask for a family of those participating in sections if they would host.

·        It was decided that there was no wax party on January 23rd

·        Booster club has been using Donatelli’s in previous seasons.  Laura Rogers to call and check pricing. Last year the cost was approximately $271.00 for each wax party

·        Booster club discussed if we wanted to continue to host wax parties or cut the number of wax parties as cost is high.  Maybe Booster club sends out a survey monkey/google form to check interest?

·        1 Week before scheduled wax party, organizer should email coach to confirm that the wax party should still take place as scheduled as meets can be cancelled/rescheduled, etc.

·        Jessica will get the sign-up genius info to Laura

·        Jessica to send email to WBL staff in regards to school space for parties

 

Trips:

Mora

·        All set for Vasaloppet center/bowling

·        For all skiers

·        Cost: $510.00-$520.00??

 

Esquaguama

·        For HS skiers

·        $156.00 total per skier.  $2500.00 for trip.  This includes bus driver, 2 coaches, and 1 chaperone.

·        White bear education may be able to assist in cost when cost is a barrier. 

·        Booster club will allocate around 2,000 to trip

·        Coach will find the itemized list for Booster club to review.

·        Coach will need a female chaperone.  Eric to ask Jody to see if she’s interested again this year.

·        Stacey to set up the sign-up genius for Esquaguama, conf, sections

 

 

Mesabi Meet:

·        Jessica reserved rooms on her credit card (4-5 rooms).  Jessica will need to release unused rooms.

 

General Booster Club business:

·        Need to recruit more Booster Club Members

·        Day to day running of club

o   Need procedural documentation of tasks of club so all know what, where, when, how, etc. of the tasks needing to be completed

o   Stacey suggested does the Booster Club look at breaking tasks down into smaller projects

§  One idea: Break tasks down differently; maybe by skill set??? Someone does all the sign-up genius tasks (snacks) for all needed events

o   At Banquet: Does the Booster club talk about some of the tasks/projects that need parent support?
