Board approved December meeting minutes
Review of expenses:
Eric still needs to pay for cost of paperwork for Heggie's fundraiser
Fundraising:
Heggie's
Raised $1955.00 for Heggie’s
339 Pizzas were sold
Had 2 other dad's there to assist during pizza pick up
Only 1 hiccup otherwise went well
Recommended that we should do this fundraiser again next year
Cub Foods Bagging
Jessica scheduled one more additional bagging event on 2.15.25
Wax Parties:

January 28th: ALL SKIERS
February 5th: FOR THOSE PARTICIPATING IN SECTIONS ONLY (18 Skiers). Lindholm's will host.
Originally looking at holding another wax party before sectionals but team will be on Esquagama trip (1.20.25-1.22.25)
Laura to check on supplies that the booster club has (located in large bins in the Nordic Ski cage at the High School) but also will ask Donatello's if they would supply utensils, napkins, etc. since they were doing the catering.
It was identified that there is a price discrepancy on Donatello's order. Eric to contact them and will make sure it's resolved before paying.
Trips:
Esquagama
January 20th-22nd.
32-34 skiers will be participating
Departure is 9:00 am
Food donation drop off is 8:45 am
Group will head to Giant's Ridge first and camp after dinner
Skier's should be bringing ski's home on Friday before trip
Total charged per skier is $115.00

Shauna Coons is a chaperone for the trip and asked what expectations were
helping in girls cabins
there is a camp counselor room she can use
support and provide some coverage at the South Chalet
Coach stated she would be like an "assistant coach"
help with skiers on ski trials as needed and if she'd like to
Shauna also thought it would be helpful if she had names of skiers and coach cell phone numbers
Banquet:

Banquet will be on March 2nd 5:00-8:30
Estimation of 130 people to attend
Price estimate for Red Luna is 859.00 (last year it was $1,041)
The additional food/beverage Expenses is estimated to be $354.00 and will need to be covered by Booster Club
Custodian coverage is required and this year we will split the cost with Fast Pitch Softball who will be using school facilities as well. Cost is usually $60-65.00/hr.
Will be having someone from the school's nutrition services help with fruit/food service line. Cost is 65.00/hr. Peggy will ask food service staff to help more with the serving line this year as last year they spent much of their time cutting up the fruit.
An idea was put out asking if the team managers (we have 3) would be able to help with the banquet...possibly serving. No final decision was made on this
Peggy will be receiving some training on the AV equipment and there will be a microphone made available for us to use
In previous years donations have been difficult to obtain
Most responsive are ski shops: Joe's Finn Sisu, Pioneer Midwest, and local White Bear establishments
Mentioned that other booster clubs have had more success going in person to ask for donations from organizations vs. via email as it's "more personable."

Jessica put deposit down for the banquet room for next year (date of meet next year is January 10th, 2026)
Room will be split again with Forest Lake
General Booster Business:
The Booster Club President position will be open next year so we need to recruit for that. If anyone is interested and want to know more information about what this entails they should reach out to Jessica Walton. Colleen to highlight this in email with meeting minutes.
The Booster Club board positions do not have term limits
Booster club spent time discussing the need to create detailed documentation about all of the tasks it manages
Jessica to create a uniform template we can pilot to use for all activities club manages
Club decided that we need to have all committees formed before the season starts and that we would do that during the banquet.
Booster could give quick summaries of what we need
have sign up sheets for parents to sign up for committees for next year
Parent did share that a challenge of having families sign up before next year is that for some skiers/families they might not know if they are going to be back for next season so we should keep that in mind.
It was decided that Booster should have a summer planning meeting; maybe something fun like a BBQ
