Yearly: Register or Renew
Yearly: Do any assigned trainings in GSLEARN (Please keep in mind that the first time you login to GSLearn you will need to log back out and give the system up to an hour to load your trainings before logging back in.)
Yearly: check the Training Path: 578 Essential Troop Leader Training for updates and complete them.
Yearly: check for expired GSLEARN trainings (Like Let's Go!), update any expired courses
Occasionally check for new trainings to help you out with your year, like trainings for a new level or new badge trainings, by searching in the content library.
Yearly: Fill out your Updated Health Form
Yearly: Check that all signers on your bank account are correct, registered, have their CBC up to date and you have the current SU treasurer on your account. If your signers are no longer correct submit the bank account update form to update your signers.
Yearly: Driver form 🚗 Available for the current year On October 1st 🚗
Every Two Years: CPR/First Aid Course - Attend an approved CPR/First Aid Course to update your certification every two years. All in-person troop activities must have at least one adult volunteer in attendance with certification.
Submit your certification card or document to Council through GSLearn

Every 3 years: GSCTX Criminal Background Check - Instructions for updating expired criminal background checks are emailed to you when you register/renew, contact GSCTX if you have not received the email in 48 hours after registering or renewing.
Chaperone Course for Adults - Make sure you read through this document occasionally and stay familiar with what we are expecting from our chaperones. Have your troop parents read and fill out this packet so they know what is needed of them.
Register with GSCTX
Yearly: Adults should register or renew with the role "Troop Friends and Family" within your troop if they do not already have another role. If they registered only as "Adult Member" they will need to add a role. If they are registered with a different troop they need to add a role with your troop.
Complete the GSCTX Youth Protection Training
Yearly: All adult volunteers working with any Girl Scouts who are not their own must complete the Youth Protection Training annually
If they will be a driver: Do the GSCTX Driver Form
A driver form is required if they transport any Girl Scouts that is not their own to or from a Girl Scout activity.
Have an up to date CBC through GSCTX
For Adults, a Criminal Background Check is required when around minors who are not their own at any GSUSA drop off event, be it a regular meeting, at someone's house or at a museum. Also required if an adult will be handling money or product sales such as working booth sales with their Girl Scout.
Turn in an Updated Health Form Yearly
As often as not, it will be your adults who have the health issues, and more complicated issues. You may need this form for ems one day, don't skip it.
If all kids have their own adults (i.e. it is not a drop off event so all kids have a caregiver with them) then you do not have to have all the boxes checked. The safest option is to have parents complete these steps at the beginning of the year so you won't have to worry about who can and can't come to any event.
A former Alisha's Juice Box Test: If an adult is with your group and might possibly be asked to help open the juice box of another kid, they need to have checked all of these boxes.
Check the Safety Activity Checkpoints - Depending on the type of event requirements may differ. Follow the Safety Activity Checkpoints for your type of activity. In particular the Number of adults may differ or certain certifications may be needed.
All Yearly Requirements - you will need to have all of the yearly items as well for each participant as the items below
Activity and Travel Application - This needs to be submitted to Council. They now want this 4-6 weeks in advance, and it may not be approved if it is within 2 weeks.
Permission for Overnights or Extended Trips - For each participant
Any Site Specific Waivers (For Camp Champions this is an online form that will be sent out before camp)
A first-aider is an adult volunteer who has completed Girl Scout-approved first aid and CPR training, including child CPR. At least one adult volunteer with current first-aid/CPR certification must be present at all in-person troop meetings and activities.
(Online-only courses do not meet Girl Scout certification requirements due to lack of hands-on practice and feedback.)
