Now Hiring: Church Operations Coordinator
Status: Part-time, 25 hours per week; hourly, non-exempt
Reports to: Pastor
Position Summary
The Church Operations Coordinator faithfully stewards and supports the ministry of the congregation by coordinating and implementing systems related to hospitality, communications, office administration, and building operations. This role works collaboratively with the Pastor, church council, ministry teams, and volunteers to ensure the daily life of the church runs smoothly and hospitably.
This position is structured as a coordinator-level role, with responsibilities designed to be completed within the compensated hours.
Scope & Workload
This role focuses on coordination, communication, and administrative support. When competing demands arise, priorities will be set collaboratively with the Pastor to ensure work remains manageable within the allotted hours.
Responsibilities listed below represent the primary areas of focus; not all tasks occur weekly.
Key Responsibilities
Hospitality & Office Presence
Create a welcoming, positive environment for guests, visitors, staff, and members
Manage daily church office operations including phones, email, mail, building security and general upkeep
Respond to general inquiries in a timely and hospitable manner
Communications
Prepare weekly worship slides and collaborate with volunteer on weekly bulletins
Create and send out a monthly e-newsletter along with weekly updates as needed
Maintain church website and social media presence (e.g., Facebook)
Maintain promotional slides on TV in Gathering Space
Provide logistical communication support for special events and registrations
Prepare annual congregational report and required synod reports
Building & Office Coordination
Coordinate use of church facilities with outside groups, including scheduling, fees, and room setup
Maintain office, workroom, and sacristy areas
Manage and implement building and equipment maintenance contracts (HVAC, lighting, snow removal, etc.) in collaboration with Finance and Property Teams.
Maintain RING camera systems
Communicate regularly with custodial staff and the Property Team
Order office, worship and building supplies as needed
Office Administration & Records
Manage payroll system in collaboration with Treasurer
Coordinate logistics for funerals, memorials, and weddings with appropriate teams
Maintain church calendar, physical and electronic
Maintain church records (baptisms, weddings, funerals, transfers, new members) both electronically and physical copy
Maintain licenses and quarterly reporting for technology, livestreaming, and music copyright compliance
Manage passwords and office computers
Maintain nonprofit documentation and filings, including tax-exempt forms and Secretary of State filings
Provide administrative assistance to Finance and Counting Teams as needed
Work with vendors and contractors in collaboration with ministry teams
Manage background checks for staff and volunteers
Other duties as assigned, consistent with the scope and hours of the position
Hours & Compensation
Approximately 25 hours per week, primarily Monday–Friday during daytime hours
Occasional additional hours related to special services or events must be approved in advance and will be compensated accordingly
Compensation reflects coordination and administrative support responsibilities and is aligned with similar roles in small congregations
Qualifications
Ability to provide consistent in-office coverage during weekday hours
Ability and commitment to work collaboratively with staff and volunteers
Strong organizational and multitasking skills
Self-motivated, dependable, and able to take initiative within established systems
Proficiency in Microsoft Office Suite (including Word, Excel and Power Point), Church Windows, social media platforms and Google Platforms
Experience with Mailchimp, Canva, SignupGenius and Vanco Giving Platforms preferred
