Purpose of the processing of personal data
The project coordinates the propagation of heritage cereals. There are about 65 persons carrying out the propagation, their number is constantly changing (new joins the network and old are leaving).
The activities have been set up to increase the diversity of arable crops, to find varieties suitable for organic farming and to verify the resilience of climate change (drought and heavy rainfalls).
The project is coordinated by Häme University of Applied Sciences, the coordinator is lecturer Annika Michelson. Maarit Heinonen, a researcher at the Natural Resources Institute Finland, is also involved in the project. She uses the information collected.
Duration of the study: The project will end on 31.12.2023. After this, the activity will continue as long as there is a need for research. This is a follow-up study.

Legal basis for the proceedings
The processing of personal data is based on scientific research in the public interest.
Content of personal data and retention periods
The study collects the following information:
Name of propagating farmer
Propagation farmer email
Propagation farmer 's telephone
The postal address of the propagating farmer and possibly the cereal growing address, if different from the postal address.
Name and possible gene bank number of the cereal to be propagated
Experiences in the cultivation of propagating cereals.
After the study:
The research material is archived with identification data. With the consent of the propagation farmer, the selected part of the research material is opened by publishing the information on the Internet or in a research report. Possibly breeding farmers create their own organization and in that case the material is transferred to the use of the organization.

Propagation farmers are registered.

All information was obtained directly from breeding farmers.

Personal information is processed by Google or Microsoft's cloud services.

Data is not processed on paper.
B Information processed by computer
The data is stored in a google drive spreadsheet. Users have personal usernames in the file. The table is accessible to Annika Michelson and Outi Vahtila of Häme University of Applied Sciences and Maarit Heionen of the Natural Resources Institute Finland. Google retains the version history of the spreadsheet. .
The backup is stored once a year in HAMK's OneDrive system. The data in the system can only be accessed and used by data controllers / persons who are entitled to it for their work. The lawful processing of data is ensured by the classification of data and the procedure in accordance with the data processing rules.
Only cereal usage experiences are analyzed with identification data. The location data of the cereal being propagated are used to know the conditions under which the cereal was grown.

Automatic decision making
There is no automatic decision-making in the register.
Data transfer outside the EU or the EEA
Data will not be transferred outside the EU or the EEA.
Rights of the data subject and their limitation
The EU General Data Protection Regulation (2016/679) gives the data subject the following rights:
Right to withdraw consent
The data subject has the right to withdraw his consent at any time. (Article 7)
The right to access their data
The data subject has the right to receive confirmation from the controller whether personal data concerning him or her are being processed. The data subject has the right to access his data. The right of inspection may be subject to a fee or may be refused if the requests are manifestly unfounded or unreasonable, in particular if they are repeated. (Articles 12 and 15)
Right to rectification
The data subject has the right to request the correction of incorrect information in the register (Article 16). A request for rectification shall be made in writing. In some information systems, a person is also able to correct his or her own information.
Right to delete data
The data subject has the right to request the deletion of his or her personal data if one of the following occurs (Article 17):
Personal data are no longer needed for the purposes for which they were collected or for which they were otherwise processed.
The data subject withdraws the consent and there is no other legal basis for processing.
The data subject objects to the processing and there is no valid reason for the processing (Article 21).
Personal data has been processed illegally.
Personal data must be deleted in order to comply with a legal obligation applicable to the controller under Union law or the law of a Member State.
However, the data subject shall not have the right to have the data deleted in the course of investigations if the deletion of the data is likely to impede or greatly impede that processing.
Right to restrict processing
The data subject has the right to restrict the processing if one of the following occurs (Article 18):
The data subject disputes the accuracy of the personal data, in which case the processing is limited to the time during which the controller can verify their accuracy.
The processing is illegal and the data subject opposes the deletion of personal data and instead demands that their use be restricted.
The controller no longer needs such personal data for the purposes of processing, but the data subject needs them to prepare, present or defend a legal claim.
The data subject has objected to the processing of personal data pursuant to Article 21 pending the verification of whether the data subject's legitimate grounds override the data subject's grounds.
The right to transfer data from one system to another
The data subject has the right to receive in machine-readable form personal data concerning him which he has provided to the controller, provided that the processing is based on consent and the processing takes place automatically. (Article 20)

Right to appeal
