Co-Organized the School Specials Schedule (in Google Sheets) by using state and county guidelines to ensure the school was adhering to regulations for time spent in each subject area.
The original specials schedule was created by 1 non specialist in my first 2 years at Westlawn. This left us with many gaps, double booking, empty class slots, classes with multiple teachers for 1 special, and a lot of beginning of the year scrambling
I volunteered (advocated) to take on the process with another specialist and found more equitable solutions for all of the above problems, including better planning blocks.
Eventually the format for the Master schedule developed to brighter colors, easier to read, larger font, and a team process that was once a single minded decision that left a lot of people frustrated.
As new admin entered the school building they embraced the culture and expanded the team creative process which made technological advances even easier
We streamlined the Duty Schedule, School Calendar, A-B Schedule, and everything was included with virtual links. Our SBTS made this process very easy as well, I was no longer the only person driving to make things easily accessible.
Presented the completed schedule in multiple visual formats to teachers and admin review visual appeal and ease of understanding. Used the feedback to fine tune and create customized teacher, student, staff, and admin schedules that reflected whole school processes.
Part of the design process meant shaping custom design schedules, including: By Teacher schedule for Specialists, a By Grade schedule for Classroom Teachers, CLT schedules, Curriculum Block schedules, and in different formats
The process was time consuming, but sometimes I enjoyed the design experience with my teammate. I typically had one specialist help create the spreadsheets.
Once people had a lot of say in the schedule, they felt more at ease about the results. Which meant they were willing to take more ownership when conflicts arose.
The schedule eventually expanded to include rationale links.
The final product has so many links and references for the administration and teachers to understand regulations for specialists and their own subject time requirements
This includes things like: Board Docs, FCPS Hub documents, sample schedules from other schools, links to partner organizations to show planning time usage, and more.
I've had a significant role in the design of every schedule at WES since 2016-17 and the collaborative process has only expanded the working experience for specialists.
The Link Up Presentation at the top is the slide deck I used to present the a field trip experience to the Administration, the Music team, the Art team, and the 4th-5th Grade classroom teachers. It was the first year doing this at our school since Covid and there were new admin and teachers who are unfamiliar. In this presentation I laid out the technology resources we would be using to guide the students through the process, but mostly it was made to share the vision and win buy in from all stakeholders.
After winning their trust I created a Link Up Check List to get everyone involved in the field trip on the same page. In my first year with this program there was no checklist. The following year we made one for the music teachers. Now, there is a copy all stakeholders to be connected to the vision and help execute what need to get done.
