A photo report is an organized collection of documented job site photographs compiled to monitor project progress and verify site conditions. This visual record links physical field measurements to construction documents, capturing the existing state of a building for renovations, historical records, or as-built documentation.
The photo report consists of a documented sequence of images illustrating the relationship between site conditions and architectural drawings. It captures the physical state of the project at specific intervals, documenting the transition from field measurements to final as-built status. The report contains a visual inventory of existing conditions and structural progress used for tracking quality and confirming construction status. In a photo report:
Camera Direction Indicators: On the floor plans and site plans, include symbols (arrows with a number) indicating where a photo was taken and which direction the camera was facing.
Photo Index/Log: A numbered list linking the photograph filename to the location on the drawing.
Scope of Coverage: Ensure the plan covers the entire project boundary, including at least 15–50 feet beyond to document neighboring structures.
Site Features: Existing landscape features, trees, hardscaping, fences, and property lines.
Utilities & Infrastructure: Locations of manholes, fire hydrants, utility boxes (gas, electric), and drainage components.
Access & Obstructions: Driveways, pathways, gates, and any items blocking views.
Wall/Structural Data: Thickness of walls, locations of columns, and beams.
Openings: Doors and windows, including sill and head heights.
Fixed Elements: Built-in cabinetry, plumbing fixtures (sinks, toilets), HVAC registers, and appliances.
Dimensions: Overall dimensions, plus string dimensions for room layouts.
Vertical Dimensions: Heights of walls, window headers, ceilings, and rooflines.
Materials & Finishes: Indication of siding types, roofing, trim, gutters, and downspouts.
Structural Details: Section cuts that reveal floor/roof construction for photographing hidden conditions.
Condition Markers: Specific notations on the drawing highlighting areas of damage, deterioration, or unique features that require detailed photographic documentation.
Internal Elevation Views: Small, simplified elevations of walls (e.g., in bathrooms or kitchens) to show the layout of fixtures.
Reference Object: In close-up photos, use a ruler, tape measure, or standard-sized item for scale.
Grid System: If the site is complex, establish a grid system (A, B, C / 1, 2, 3) on the drawing for easy reference.
High-Resolution Output: Ensure the drawings are clear, legible, and printed at a scale that allows for detail (e.g., 1/4" = 1'-0" for interior rooms).
Sequence: Organize photos logically, such as walking through a building (clockwise from the front door).
Wide Angles: To show the overall context.
Perpendicular Photos: To avoid distortion (especially for facades).
Opposite Corners: Interior photos taken from opposing corners to cover all walls.
Concealed Areas: Mechanical systems, structural connections, or areas that will be hidden by renovations.
Progress Tracking: Documents the development from ground-breaking to completion, highlighting changes between site visits.
Quality Control & Compliance: Identifies defects, deviations from contract documents, and verifies work meets specifications.
Visual Documentation: Features timestamps, descriptions, and location markers to show what was installed and where.
Communication Tool: Keeps clients, contractors, and stakeholders updated without requiring physical site visits.
Architect's Field Report: Often attached to AIA G711–2018 forms to document site observations.
Pre-existing Conditions: Captures the site before work begins to prevent wrongful damage claims.
Internal Coordination: Helps architects and contractors review hidden elements (e.g., electrical rough-ins) before they are covered.
Photo reports are frequently created using software like Construct PM, CompanyCam, SiteCam, or PlanRadar.
