Team Check in –
- There will be arrows and volunteers directing you to warmups and back from warmups.
- Teams will be required to have their teams certified roster with them at team check in.
When should you check in? Check in at least 1 hour before your game time.
ONE TEAM BAG can be a big duffle bag if needed. If you attempt to bring extra bags you will be refused entrance.
No food or drinks may be brought in. - Exception – athletes may bring in a reusable/disposable PLASTIC water bottle.
- Please arrive as a team.
- Only rostered athletes and coaches are allowed to enter with the teams. No athletes from other teams, no coaches kids, no parents etc.
Exiting the fields –
- Please be sure to pick a team meeting spot outside for the parents to meet you and the athletes.
- If you have an athlete on your team staying for another game, please coordinate with their parent how to/where to meet up with their child. They should be meeting them prior to leaving the arena as there is no re-entry.

Ticket Sales –
- Ticket Sales is open seating - $XX for all ages
- Anyone who takes up a seat will require a ticket.
- Infants in a sling or body carrier will be no charge
- Doors open to the public at 7:15 AM.
- Siblings to athletes coming in earlier or staying later will need to purchase a ticket to enter and/or reenter.
Concessions –
- There will be many concession stands open for all your food and drink desires.
Parking -
- Handicap Parking, limited spaces
Arena Policies –
- Clear bags only for spectators.
o If you have any other bag but clear it will be turned away at the door.
- No food or drink may be brought into the area.
- No handheld signs - No Balloons -No Artificial noise makers -No Laser Lights
Vendors –
- Clothing vendor will be on site for your t-shirt and sweatshirts
Teams that have placed in the top 3 at States will advance to the Regional Championship game.
You will need to get your paperwork together so if your team advances from Regionals to Nationals you will be pulled into another room where they will seal and stamp your packet.
In a orange envelope: you will need the following checklist along with documents in this order:
Copy of roster
Concussion, Background check & Coaches training affidavit (Association forms)
Scholastic Fitness Affidavit (Association Forms)
Proof of Insurance & Risk Management Agreement (Association Forms)
Waiver & Release of Liability - Minor (all paperclipped together in roster order)
Image Release Form - Minor (all paperclipped together in roster order)
Waiver & Release of Liability - Adult (paperclipped together all coaches)
Image Release - Adult (paperclipped together all coaches)
Do this step ASAP. Do not wait. This will give you a little bit of time to correct any errors or print new paperwork if you are missing anything.

The regional director will initial and date all the sections and fill out the last part on page 2.
Log into MYAYF
click on "manage teams"
click on your team to get your "Team ID #" If you can't find it, ask me and I will get it for you.
When you fill out this form, you are just filling in your team information. Regional staff will initial and date so don't write in this area. That is their check list to make sure you have everything.
The only part of this form you need to fill out is your team information and your roster ID # Everything else gets filled out by Regionals (dates and initials) Check part 1 and 3 for paperwork needed.

These hotels have very high utilization rates so I need rooms booked here asap so we do not have to pay to unused rooms
If there is a link to the reservation it means they only take reservations through the link. No call ins.
The ones that say “at circle” is prime location, right off highway I95 – all at a traffic circle in walking distance to each other! Good if you have teams who want to stay near each other but hotels fill up fast.
All almost ALL hotels are at least 15-25 mins away from the venue.
Only teams that have qualified for regionals can book hotels.
If teams book and cancel rooms, they will be charged for what they booked originally.
