Send a communication regarding the meeting at least 72 Hours prior to the meeting
Make sure the Venue is available and the necessary permissions are made.
All meetings including the meetings of the department should have communication to the Laboratory Director and Manager.
If the notification is through the whatsapp, have the
Descriptive name of the meeting
Date and Time of the the meeting
Venue of the Meeting.
A brief agenda
Start the meeting with prayer
Take attendance of members present and identify the absentees with reasons
Approve the previous meeting minutes by physical signature
Follow Up of previous meeting agendas
Discuss the agenda one by one, the 'Chair person' has to control the discussion for effective outcome & time saving.
List the discussions and decision made on each agenda, responsibilities assigned and due dates
If possible schedule the next meeting
A copy of the minutes in the prescribed format (link) is distributed to all members within 24 Hours
The discussed agenda, responsibility and the due date is copied to the Summary Sheet and the follow up is done
Every meeting occurred has to be updated in to the online form
