January Meeting Minutes

Popcorn- big hit- deal with Epping MB from now on
Upcoming this month:
Coco cart- Donna, Courtney and Sam.
Will serve coco, coffee, iced tea. Cookies, trail mix.
Raffle for gift cards, hand sanitizer to give to teachers
Update: Event went well. Teachers very appreciative. 2 Carts worked better and allowing staff to make their own coffee was helpful. This is about a 3/3.5 hour time commitment

Someone special dance:
DJ confirmed available for dance. Price to be about 300 dollars. Will be toward the stage area this year
Police detail needed- department said to contact them mid Feb to set up
Food- Going to be simple this year- gold fish, popcorn, brownies, cookies, water (sign up genius for donations)
Set up- At Swasey so can start early. Will need check in table in the front (pre paid/ paying now). Food tables located between the 2 doors in the gym. ? photobooth set up in lobby or in gym (lights in gym to be brighter than last year. – I am not sure if the lights can be done half way or if it is an all or nothing type situation. **Need something for the kids to stand on at the photobooth**
Decorations: Primarily table cloths on the tables, blue lights and the photo booth. Also, art teacher working on fish to hand around.
Cost: $5 per couple, additional Bakie students $2. Shannon to speak with school nurse to see if she will be contact person for any families that can’t afford and Boosters will cover those. We are unsure how to not have a bottle neck when coming in. Will need to send out flyers and people can prepay by returning to school? Are we allowed to have list of student names to check off? Compile our own list as we get things returned?
Promotion/raffle: I have the books for the raffle in my house and will go through. ? using sea themed backpacks to package the books instead of baskets. Take pics of each book bundle and promote on facebook ahead of time and have display with pictures up of each vs devoting floor space to a basket table.
Volunteers: Key club volunteers (max 5) to man the food table, help with clean up
Clothing drive: Shannon to reach out to Jullienne to see if more clothes are needed in the spring. If so we can tie to the book fair
Book Fair May 1st to the 5th (set up the Friday before vacation)
· Start the week with preview breakfast for the staff. ? if they can use their scholastic bucks at that time (not sure if those only apply to certain books)
· Flyer/email to be sent out prior to vacation with a free book to each student explaining the change in book fair format. **Need to pick the book for each grade from the scholastic bucks catalogue and order soon***
· Need to redo facility use form
· Need to set up a sign up for previews M-W with teachers
· Need to get sign up genius for volunteers
· Set up book walk in hallway outside of library
· ? UA night
