Call for AIIDE-24 Hosts
The AIIDE-23 organizing committee hereby invites proposals to host the 20th AAAI Conference on Interactive Digital Entertainment (AIIDE-24), to be held some time during the months of September to November of 2024.
These proposals will be evaluated by the AIIDE-23 organizing committee in consultation with the Association for the Advancement of Artificial Intelligence.
Important Dates
All deadlines are 11:59 PM anywhere in the world (UTC-12).
Host Proposal Deadline: September 02nd, 2023 September 30, 2023 (extended!)
Host Proposal Notification: October 12th, 2023
What to Submit
The proposal should be short (2-3 pages, Letter-formatted) but provide sufficient details on the:
Proposed conference dates
Local AIIDE organizers, including the primary contact who will interact with AAAI on contracts
Immigration requirements for host country
Existing legal protections and/or threats for LGBTQIA+ persons
Detailed budget estimates (including break-even figures) as a function of the expected number of participants
Monetary support that the local committee expects to raise through various sponsorships (public and private)
Travel logistics, including: flights and airport options, local ground transportation options, and lodging/accommodation options (e.g. hotels, student housing), and their overall impact on the budget
Potential conference/workshop venues, including details on availability and cost of on-site catering/food options, and their impact on the budget
Historical weather forecasts
Evaluation Criteria
Proposals will be evaluated in relation to a number of site selection criteria:
National, regional, and local AIIDE community support
National, regional, and local government and industry support, especially financial
Appropriateness of proposed dates
Adequacy of conference/workshop facilities for the anticipated number of registrants
Adequacy of residence accommodations and food services in a range of price categories and proximity to the conference facilities
Adequacy of budget projections
Accessibility, attractiveness, and desirability of proposed site
Balance with regard to the geographical distribution of previous conferences
Note: this call is not open to bids from convention centers, tourism bureaus, nor private contractor offices. Bids from these kinds of entities will not be considered.
