PARENT CHAPERONE POLICY
With permission of the local chapter youth leadership, parent chaperones are allowed to register for the 38th annual North American Youth Conference in Detroit, but will be subject to the following policies:
Number of chaperones per parish: There can only be one chaperone per 15 registered youth members. For example, if your parish has 45 members attending, you are only entitled to bring 3 parent chaperones.
Meetings: All parents that are attending as a chaperone are obliged to attend a meeting with the North American Executive Committee to discuss the expectations of chaperones. This meeting is scheduled to take place on day one of the conference at the Welcome Dinner. Additional information regarding this meeting will be communicated to chaperones in due time.
Room assignments: Parent chaperones are attending conference to ensure the well-being of their own parish’s youth group; therefore, chaperones must be in a room with youth members. Under no circumstances will parent chaperones be allowed to room with each other.
Responsibilities: Chaperones are restricted to supervise, discipline, and engage with their own parish’s youth members in conjunction with the youth leadership of their respective parish and/or the organizing committee.
Attendance: Parent chaperones are required to attend ALL youth conference events as listed on in the program, unless otherwise granted permission by the organizing committee.
Leaving Hotel/Conference Events: We understand that as chaperones you may have to leave the premises in the case of an emergency or to pick up refreshments for your parish youth. As these situations may occur, we require that you first notify a member of the organizing committee before leaving the premises to ensure the accountability of all registered attendees.
Guests: Under no circumstances will chaperones be allowed to receive guests throughout the duration of the conference, including in the hotel lobby. Please remember anyone who does not present an ID badge will be asked to immediately leave the premises by our central security team.
Media Policy: Parent chaperones, by no means, are allowed to capture photos and/or videos of the conference and post them on their personal social media pages, including using Facebook live. Chaperones must agree to the conference media policies or will face strict censure. All photos and videos will be posted by the official media team of the NEC.
We ask you all to cooperate with the conference organizing committee to ensure compliance with all the rules of the youth conference. The complete safety and well-being of all youth members at this year’s youth conference in Sacramento is under the responsibility of the organizing committee; therefore, the organizing committee is subject to the final decision in all circumstances.
