If you're a Representative or part of a committee and you have a fantastic idea for a new event, be sure to let us know. If you sell it well, you could convene and make your idea reality!
Write a proposal using the New Iniatives Proposal Template.
Produce a budget.
Financial viability is also imperative in approving your idea so please give us an idea of how the event might look money-wise.
If your event is combined with another organisation, such as an affiliate, draft a Memorandum of Understanding (MOU).
Only members of the UQMS Executive Committee can sign an MOU, so wait for UQMS approval before sending it to your partner organisation for signing.
Submit your proposal and budget (and draft MOU if applicable) to your relevant Executive Committee Member for perusal.
Submission must be at least 6 weeks prior to prospective event date.
Please note that the more time given for approval, the more likely it is that the event can be worked on to ensure success. This is because more information may be requested by the Executive Committee before approval is given.
Once they are happy with any clarifications or changes, submit your proposal and budget (and draft MOU if applicable) to the Treasurer.
If your idea is not approved, don't be discouraged! Take note of the feedback and reasoning, and reassess your idea carefully.
If your idea is approved, please refer to the Academic Events or Social Events tab on the Hub to guide the planning process. This Hub outlines rules and recommendations for your event, and will be your best friend for event-planning.
