The success of your events largely come from how well you advertise! Here are some top tips:
You can advertise via Facebook (Event page and UQMS Facebook groups), the UQMS website, Instagram and the newsletter.
Plan the launch of your Facebook event page and posts very early! We recommend having the event page up at least 1 month before your event. There are posting restrictions in place for the UQMS Facebook groups so keep these in mind (see below).
Feel free to use the Marketing Planning Document to plan out your event advertising schedule.
All UQMS Convenors will have their event page uploaded by the UQMS Admin officer or Engagement Officer.
UQMS Arms can choose to have their events uploaded by their own communications/engagement officers (see below).
In preparation for the event page submission, you must have an event cover photo (1920 x 1080 px) with space left at the bottom for inserting the UQMS sponsorship banner. The Admin Officer can insert this banner for you. You may also insert the banner yourself following the steps further along this page.
To launch your event page, please fill out the Event Page Submission form at least 4 weeks prior to your event.
Once the event page submission and sponsorship requirements for your event have been processed, we will then:
Launch your event on Facebook and the UQMS website
Schedule your requested posts
If your budget has not been approved, your event cannot advertise ticketing or pricing, but can be posted and advertised as a ‘Save the Date’.
Once your budget HAS been approved and you wish to include a ticketing link, please email the Engagement Officer and the Admin Officer to have your ticketing links included in Facebook, Noticeboard and the UQMS website.
If this is an issue, please email the Vice-President Internal, and CC in both the Engagement Officer and the Admin Officer explaining the situation.
Alcohol prices cannot be advertised online under any circumstances.
Note: Event pages are only launched once a week as per the Admin Officer's office hours, so please be sure to take that into account with your event page submission and planning your event timeline.
Event Page
You can post on your event page as much as you like. It is important to invite all the UQMS members to the page and engage people with regular posts (eg. leading up to ticket release).
UQMS Facebook Groups
You can also promote your event on the UQMS Facebook groups (eg: Class of 202X and UQMS All Years). However, you must abide by the UQMS Social Media Policy. You can find a summary below.
Posting from the UQMS Facebook Page or Instagram account
You may want UQMS to post promotional material for your event to our platforms.
To do this, email our Engagement Officer with the content, desired posting time/date, and additional media (video, images, etc.) at least 2 days before your desired post.
Lecture Bashing
Lecture bashing is a great way to advertise, especially to phase 1 students! You can talk at the beginning of a lecture. Contact the year level reps to do this for you.

If you are a convenor under Ashintosh, Rainbow Med, UQMind, Incision UQ, etc. you are not required to submit an event page submission form to the UQMS Admin Officer. You can choose to make your own Facebook event pages:
Upload your event page using the Arm's Facebook Account (not your personal account).
Invite UQMS to co-host your event.
Ensure your event cover photo contains your Arm logo and the UQMS sponsorship banner (see below).

As mentioned before, all UQMS event cover photos must contain the UQMS sponsorship banner; this is a requirement from our sponsors. There a couple of ways you can insert the sponsorship banner:
Admin officer
Our admin officer can insert the banner given that sufficient space has been provided at the bottom of the event cover photo when submitted via the event page submission form.
Google drive folder (ideal for WALSHS as the only sponsor)
Download the appropriate 2025 Sponsorship Banners from the drive to paste onto the cover images using a software of your choice.
All events must display WALSHS as a sponsors.
If your event has additional sponsors, please display their logo on the banner as per the reference images shown. The best way to do this, is utilise the UQMS Canva account.
It also has a "Demo placement guide" which shows you how to align the banner.
Make sure the dimensions of your cover photo are (1920 x 1080 px) to work best with Facebook.
UQMS Canva Account (ideal for multiple sponsors)
There's a UQMS account for all convenors and reps with the event cover page template pre-uploaded to Facebook cover dimensions (1920 x 1080 px)
This is a great tool to use if you need to adjust the UQMS banner template (eg. you have additional sponsor logos to insert).

If you have any problems logging in, message or email secretary@uqms.org.
When you log in, there are multiple saved templates (academic, social, advocacy, etc.).
Open the template you need and follow the instructions on the first page.
DO NOT DELETE OR EDIT THE INSTRUCTIONS PAGE.
You can duplicate the instructions page and then minimise WALSHS logo to fit additional sponsors in. Use the upload function in canva (should be on the left hand side of the screen) to upload additional sponsor logos.
See the Templates and Logos drive here to access additional sponsor logos or icons.
You can then download your design using the "Share" function at the top.
You can choose to leave your customised banner template there (eg. if you will be using your custom template multiple times for different events). If you see other people's banners there, please don't delete or edit them.
Feel free to use the UQMS Canva account for making other promotional materials and delete them after you're done. Don't delete or edit anyone else's work.
