Instructions for Pulling Instructor Evaluation Data from MEDtrics
Faculty Instructions for Clinical MS 3 & 4 Clerkships
Students at the University of Minnesota have the opportunity to complete an evaluation of preceptors at the end of every clerkship. Starting with the 22-23 academic year, student evaluation of preceptors became a standard process managed centrally by the Assessment & Evaluation team in MEDtrics. The preceptor evaluation survey include questions that ask students to provide feedback for preceptors who they worked with while on rotation that can be used as data for the promotion and tenure process. As a preceptor who worked with students in a clerkship, you can view and download this data directly from MEDtrics.
MEDtrics uses a Single Sign On (SSO) process. If you have a UofM Internet ID (X500), you can log onto MEDtrics using your Internet ID and password.
If you do not have a UofM Internet ID, you will need specific login information. Please contact the clerkship coordinator for assistance.
You can find more information about MEDtrics on the Medical School’s faculty page.
The Student Evaluation of Preceptor - Individual Preceptor Filtered Report
This report displays aggregate data for an individual preceptor with the fewer-than-6-responses filter applied. This view allows individual preceptors to be able to view and export data completed about them. Preceptors can only see their own data. All data collected in the survey is displayed in one view. Data can be filtered by preceptor name, academic year, period, preceptor role, site name, and dates.
Tableau Reports
There are two sections to the Tableau report page.
The top half of the page provides descriptive information, options to change the report view, filter the report, and to export the data.
The bottom half of the page displays the results of the report.
Report Filters
On the left-hand side of the page you will find a series of filters that allow you to narrow down what information is displayed in the report.
The Include option will display some additional options for exporting the data. Depending on the report, you may have the option to select individual pages or views. We recommend that you explore these options to see if there is an export that meets your specific needs.
To generate the export, click the blue Download button on the bottom right hand side of the pop-up page.
The orange Download Data button allows you to download the data as an excel file. When you click the orange button, a Download Crosstab page will open that prompts you to select a page to export.
The Download Crosstab page allows you to select which sheet or view from the report to download, as well the option to download the data as an excel or comma separated variable (CSV) sheet. We recommend that you explore these options to see if there is an export view that meets your specific needs.
To create the export, click the blue Download button on the bottom right hand side of the page.
