Undergraduate students can be hired without posting a position. If you have identified an undergraduate student that you would like to hire, please complete the Undergraduate Student Hire Form.
Please note, once the Office Specialist submits a hiring request it will take HR two weeks to process it.
There is not a limit on the number of hours an undergraduate student worker can work in a week, but there are university limits on when undergraduate students can work throughout the year.
In order to use work-study funds, a student needs to do the following:
Receive an offer of funds
Provide the Office Specialist with written consent to apply work-study funds
Work-study funds can be applied at the start of hiring and during an existing appointment. In some cases, funds can be applied retroactively.
If an undergraduate student worker is graduating and plans to continue working in the role after graduation, they must transition into a temp/casual appointment.
The transition from undergraduate student worker to temp/casual employee can be seamless if the Office Specialist is informed of the needed change at least two weeks before the end of the semester.
Temporary Employee: an employee who works 67 work days in a year.
The work days do not need to be consecutive.
A day is considered a work day if an employee clocks in for any amount of time.
Casual Employee: an employee who works less than 14 hours a week.
If you have identified a candidate you would like to hire as a temp/casual employee, please complete the Temp/Casual Hire Form and ask your candidate to submit a job application to the ENTO Evergreen Job Posting.

In the event that you do not have a candidate identified, you may need to have an undergraduate student worker or temp/casual position posted.

The Department Administrator and Office Specialist will work with you to create an HR-approved job posting.
Once a posting has been added to the UMN job boards, you can review any applicants.
How to view applicants:
Log into MyU
Under the Key Links drop-down, select Twin Cities Employee Center
Scroll down to My Recruitment Tasks and select Recruiting Home
The page should display your posting under My Job Openings.
If the page does not display My Job Openings, select Personalize Content in the upper right corner. Make sure that all Recruiting Solutions are checked. Save.
Click on the posting. From there, you should be able to see all of the applicants, including their resumes (right-hand side).
Once you have narrowed down your list of applicants, you can select candidates to interview. You may create your own interview questions and independently interview candidates.
After you have selected a candidate to hire, please inform the Office Specialist.
Confirm the following information:
Candidate's legal first and last name
Candidate's preferred name (if applicable)
Candidate's email address
Candidate's rate of pay
Chartfield String used for the position
The Office Specialist will then submit a hiring request to HR.
