The Organizer’s role is divided into five weeks, with the bulk of time commitment in the initial Prep Week.
PREP WEEK
Monday (or before):
Watch the YouTube Intro Video.
Review your Campaign Strategy.
Decide if you will be the Organizer - or recruit someone else?
Decide on the calendar month or other four-week period for your WRE Campaign.
Identify online the names and addresses of the five government officials to whom your group will be writing. Since this campaign is focused on “police reform”, these officials will be those elected representatives within the city (Mayor, City Council), county (County Council), state (Assembly, Senate, Governor) and federal governments (House and Senate) who have responsibility for policy decisions affecting policing and law enforcement. If you identified every such official (and remember that state and federal officials have an office in the capital as well as in their local constituency), you would have quite a long list. But the goal is to come up with ONLY five individuals/addresses for this Campaign. This is the most time consuming task in the Campaign, so you may want to pair up with a helper person who is willing to do the research, or who may already have some familiarity with what government agencies are involved in law enforcement in your geographical location.
Decide on the date, time and, format (socially distanced) of your Launch Meeting during WEEK ONE and your Writing Meeting during WEEK TWO.
Determine your sign-up procedure for Participants.
Modeling it on your Organizer’s Blurb, send out your invitation to join as a Participant in your WRE Campaign with requirement to sign up by Wednesday, (two days later). You can copy and paste the "holding hands" logo onto your document. Emphasize your passion for creating racial justice!
Review the remaining materials listed on your Campaign Overview.
Wednesday:
Send Launch Meeting email to signed-up Participants with meeting date, time, length and socially distanced format; include the link to this Writing for Race Equity Campaign, and request that they watch the YouTube video.
Thursday:
Prepare for your Launch Meeting next week: points you will cover, using your Launch Meeting Agenda.
Friday:
Send a Launch Meeting reminder to Participants, including their preparation items to do.
WEEK ONE
Hold your Launch Meeting following your Launch Meeting Agenda.
Prepare your Writing Meeting Agenda for next week.
Friday: Send your Participants a reminder of your Writing Meeting next week.
WEEK TWO
Hold your Writing Meeting.
WEEK THREE
Monday:
Send reminder to Participants to be mailing their postcards each day this week.
WEEK FOUR
Monday:
Send a reminder to Participants to be mailing their postcards each day this week, and ask how many postcards they mailed last week, and will mail this week.
Friday:
Send a congratulatory email to all participants telling them how many postcards in total were sent during your campaign!
