Configuring a questionnaire for another researcher

These instructions assume that you have permissions to manage the user for which you'd like to configure a new questionnaire and that the user has been created.

Copies of LimeSurvey webpages in the instructions can be enlarged by left-clicking the copy of the webpage.

1. Log in as an administrator or as a user with the permission to manage a user that has already been created (Creating a new user).

1. Navigate to "Create, Import, or copy a survey" by clicking the icon with the green plus and notebook paper.

1. Click the 'Copy' tab.

1. In this example, we will create a new Conventional Constructs for Research Use questionnaire for the user that has already been created as described in Step 1. Select "CC for Research Use" from "Select survey to copy" and add a user identifier at the end of the title of the questionnaire. For data collection purposes, leave "CC for Research Use" unchanged. It is safe, however, to add an identifier at the end of the title. In this case, we add the name "Demo User" to make it easier to find and configure the questionnaire in later steps.
2. Click 'Copy survey'.

1. A confirmation page should appear. Click "Go to survey".

1. Select "Survey Permissions" from the dropdown.

1. Choose from the list the user you want to to grant access. In this example case, the name of the user is demouser. After the name of the user, you will see the questionnaire identifier that was added in Step 4, which is “Demo User” in this example case. Then click Add user

1. Click "Set survey permissions"

1. LimeSurvey includes a number of ways to manage permissions, a full discussion of which is out of the scope of this document. For more options on setting user permissions, see documentation posted at http://manual.limesurvey.org/Manage_users.
2. In our case, we set permissions for a single survey, as outlined here: http://manual.limesurvey.org/Manage_users#Setting_permissions_for_a_single_survey.
3. Depending on your use case, it is generally safe to select all permissions except Survey deletion. Leaving Survey deletion unchecked guards against accidental deletion and data loss. Click "Save now"

2. At this point, the user demouser can log into the application and manage the survey, choosing options such as open or closed access mode, modifying questions if desired, or activating the survey.
3. For a very controlled environment that would disallow editing questions, the administrator can uncheck permissions such as "Survey settings", "Survey security", "Survey content", and "Survey activation" and instead carry out the follow steps on behalf of demouser. Permissions are extremely dependant upon the situation and people involved. Please think through how access to your study should be managed and make the appropriate changes using http://manual.limesurvey.org/Manage_users as a guide.
4. In our example, we continue as the administrator through to survey activation.
5. Click "Continue"

2. The admin user (or any user with the appropriate permissions) can modify other users' permissions at any time via the Survey permissions page referenced in Step 6.
3. If it becomes clear that you need to add or remove permissions for a user, use the pencil icon to edit the permissions for that user.

1. Decide whether Closed access mode will be used. Use Closed access mode when you want to ensure that only people with a valid token can access the survey. Note that a token is similar to a randomly or manually generated password, but does not require a user account in the LimeSurvey application.
2. The decision of whether to use Closed access mode is dependant upon your situation. For example, administering the questionnaire on an internal network not publicly available on the Internet via a proctor may not require Closed access mode, whereas a publicly available, remote, longer duration study may demand Closed access mode.
3. If you decide not to use Closed access mode, click the Home icon then skip to Step 19.
4. If you decide to use Closed access mode, click the Token management icon.

1. Click the icon for Add a new token entry

1. Enter responses for fields "First name", "Last name", "Token", and "Uses left". It is very important that the "Token" field is a unique password that is shared only with those who have permission to administer this questionnaire to participants. The "Uses" left field must match or exceed the number of expected participants. Enter a very large number of uses so that no potential participants will be excluded. In our case, the token that will serve as our password is "password1234" and we know that our study will have no more than 100,000 participants.
2. Click Add token entry

1. You will be presented with a "Success" message. Click the Home icon.

1. Copy or otherwise take note of the "Survey URL - English" field. Copying the URL is important - this URL will be used when administering the questionnaire to participants. You will provide this URL and the value of the Token set in Step 16 to the researcher who will administer this questionnaire.

1. You can test the questionnaire with the green gear icon. When you are happy that the questionnaire is ready, click the small green arrow next to the large red square to activate the survey.

2. Read about the difference between active and non-active questionnaires. Click "Save / Activate survey"

1. In nearly all scenarios, at this point, the administrator who completed the previous steps would log out and provide the Survey URL and Token value to demouser. demouser would then follow the steps for Administering to Participants.
