If I have coded documents in an excel spreadsheet can I import this coding per document into TrialDirector without having to retype the coding?
ANSWER: you must generate a comma delimited file from Excel that includes the path to the documents and that pays attention to the columns in TrialDirector for coding, comments etc. See below for examples and see page 7 in the Manual for Trial Director which is at this link:

The load file is an ASCII delimited file that contains the following nine fields: Field Description Field 1 Record Type - Determines the tab with which the item will be associated. These are the available record types: 1 - B&W Image Documents 2 - Color Photographs 3 - Multimedia Files 4 - OLE Files Field 2 Document ID -
If there are multiple pages to an item, all will have the same Document ID, which is the same as the first page of the document. This field is limited to 20 alphanumeric characters and may include spaces.
Field 3 Item ID - This indicates the page number in a multiple page item. This number combined with the Document ID must be unique. This field is limited to 20 alphanumeric characters and may include spaces.
For Video segment items, Document Manager adds four characters to the end of the Item ID. Keep this in mind so you do not exceed the 20-character limit.
Field 4 Page Number - The Document ID is the same for each page in the item. The page should be incremented by 1 for each following page. Items with no multiple page association (i.e., OLE links) are always page 1. Videos can have clips and multiple segments, but once a segment is created the number cannot be reused. Note: Since long file names create long barcodes, which may not fit the print options, try to keep Item ID between 5 and 12 characters if you plan on printing barcodes.
Field 5 Description - This field is not required and is editable within the Case Explorer.
Field 6 Volume Label - this field can be blank as long as the load file (.OLL) exists on the same volume as the files and images. The path is relative to the location (path) of the .OLL file. Paths are Volume label based so that on removable drive systems, the drives can change and Document Manager will continue to find the items.
Field 7 Path - Stores the exact location of the item with no leading or trailing backslash.
Field 8 Filename - The actual filename of the object (e.g., 001.TIF).
Field 9 Special Field - Used internally by Document Manager only. If you are creating a load file, leave this position empty. If you are editing an existing load file, do not modify this position. Generic TIFF Load File Several popular image production systems produce image volumes containing a load file in the following format:

To import the coding that you have in an excel spreadsheet along with each document you will need to create from that spreadsheet an .oll load file that must be in a certain format and the documents that you are importing must be in the specific location where this .oll file will find them - preferably a subfolder of the new case folder where you have created your case - so first copy the documents to the subfolder then see below for the importation procedure but you will need to tweak the .oll file you create with this Excel Spreadsheet - for an .oll file is not one of the exported options from excel - for an .oll file is a delimited file. Loading Items Using Batch Import Files A batch import (or batch load) file automates the process of adding a group of items to a case, avoiding the slow, tedious task of adding items one-at-a-time. Using a defined format, a batch load file typically contains information about the filenames, the location of the files and the types of files. The load file most identified with TrialDirector is called an Object Load List (*.oll). Object load lists can be manually created using a text editor. TrialDirector also accepts several types of batch load files produced by other programs. Batch load files currently supported by TrialDirector are: • TrialDirector database files (*.mdb) (includes annotation references, if any) • CT Summation iBlaze® Document Image Information files (*.dii) • IPRO load files (*.lfp) • DocuLex™ Volume Contents files (*.txt) • DocuLex™ Database Files (*.dbf) • Opticon v2.0 ImageBase Load Files (*.opt) • Generic Image Load files (*.log) TrialDirector also offers a utility called FileBridge, located in the Tools menu, that lets you convert certain types of batch load files into an .oll file or other compatible format. Note: If you are adding items from a volume that you have exported from a TrialDirector case, use the database file (*.mdb) rather than the object load list (*.oll). The *.mdb file contains references to any annotations made on the items; the *.oll file does not contain that information. To Load Documents Using a Batch Load File Note: It is always a good idea to make a backup of your case before you load a large amount of items, just in case something goes wrong with the load process. 1. From the Case Explorer, Document Manager or Coding views, open the Document menu. 2. Select Import New Item(s) from... 3. Choose Batch Import File from the flyout menu. The following dialog appears.
4. In the first field -- Select the Batch Import file format -- select the type of batch file you are importing. By default, TrialDirector selects an .oll file but click on the drop-down arrow to select from a list of compatible file types. 5. In the second field -- Select the Batch Import path and filename -- type the path and filename of the batch file you are using (for example, C:\images\load.oll) or click Browse to locate the file. 6. Click Next. 7. If all of the items you are importing need to be rotated, select the number of degrees (clockwise) the images should be rotated. If only a few of the items require rotation, it is better to perform the rotation using the rotation tools on the main TrialDirector toolbar. 8. Click Next 9. Click Import.
