2023 ICC GUIDELINES FOR SITE COORDINATORS (responsible for a single site)
BEFORE THE CLEANUP
Register at the website or send an email to signify your participation (iccphilippines@gmail.com). You will receive an email acknowledging your participation. You may request for an endorsement letter signifying you as a Site Coordinator.
Identify your cleanup site. Be sure it's safe and accessible. Obtain permit to access the site for the ICC event (i.e. Local Government Unit, City ENRO, Municipal ENRO or Barangay LGU).
Know the basic information about ICC and its mechanics through the website.
Conduct a Coordinators Meeting to create a working group to help in organizing the Cleanup. Make a plan with time table and role assignments for the group. Plans will include provision of cleanup materials & tools, snacks, water, weighing scale, first-aid personnel and garbage/trash hauler (check with the LGU), as well as, set-up of the cleanup site on ICC Day.
You may contact sponsors to support your cleanup.
Promote the ICC event through email, social media and e-invites. You can also print and post event flyers in the area.
Invite organizations, companies, schools and clubs for an ICC Coordinators meeting for orientation and to discuss preparations and guidelines for ICC Day.
Finalize all preparation activities. Make sure all cleanup materials, tools & other provisions are ready.

Cleanup tools (broom sticks, rakes, shovels, scooping nets)
Other provisions (water & snacks) and first-aid / health emergency personnel
Tables, chairs, tents (optional); PA system (megaphone or portable microphone), portable toilet (if available), water for washing, weighing scale
Garbage/trash haulers
Final ocular survey of the cleanup site to determine proper location of each tent/station (registration, first aid, ICC materials distribution, drinking and washing, sorting of trash)
Program for the kick-off and guest to grace the event
People assigned to document the event
Tarp, banners or signs (to guide volunteers to the site)
T-shirts (optional)
Certificates
In case of severe weather disturbance, have informed volunteers about the cancellation of the Cleanup. Rescheduling of ICC will be the discretion of the local Site or Area Coordinator, informing the ICC National Coordinator.
Remind Group Coordinators on the basic health and safety protocols during the cleanup.
ON ICC DAY
By 5 am, set up tents/ stations for registration, first-aid, drinking, weighing, washing and hauling. Set up your PA system for the kick-off ceremony. Mark each station to guide volunteers. Post banners or signs to direct participants to the cleanup site. Cleanup materials (sacks and gloves), trash data forms, ballpens, registration forms and a labeled box for returning accomplished forms must be ready at the Registration/ Receiving Area.
Make sure registration and distribution of cleanup materials are in order.
Oversee sorting and hauling of trash bags/sacks. If possible, debris items that are recyclable such as, glass bottles and beverage plastic bottles are segregated. Make sure the waste hauler takes all the trash away.
The Receiving Area should check that returning data forms are properly filled-out and no information missing (such as, site name, name of school and coordinator, weight of trash, number of bags, etc.) because every detail of data is important. If possible, filled the site name ahead so that volunteers will not misrepresent your site.
Secure in a labeled box all accomplished data forms.
AFTER ICC DAY:
Summarize all data collected from the volunteers into the Ocean Trash Data Form for Coordinators downloadable at the website. Submission is within a week by email or on-line at the ICC Philippines website. Please notify ICC Philippines by email for an extension request.
Recognize your coordinators, sponsors and volunteers with a follow-up thank-you letter or certificate. Templates of the ICC certificate for coordinators, sponsors, institutions and individual volunteers can be downloaded from the website.
Submit high resolution pictures and videos, list of sponsors and stories about your ICC. This will be for the Philippine Report to Ocean Conservancy and for the website.

BEFORE THE CLEANUP
Register at the website or send an email to signify your participation (iccphilippines@gmail.com). You will receive an email acknowledging your participation as an Area Coordinator.
Identify cleanup sites and coordinate with each Site Coordinator.
Hold a Coordinators Meeting for orientation of new members and to discuss plans and preparations for ICC Day.
Assist your Site Coordinators in the promotion of the ICC event, in acquiring Sponsors and in procurement of cleanup materials such as, sacks, net bags, gloves, and trash data forms and materials/equipment for ICC Day (i.e., tents tables, chairs, PA system, water, first-aid /emergency personnel, weighing scale and trash haulers).
Follow-up final preparations with each Site Coordinators. Make sure all cleanup materials, tools & other provisions are ready.

Banners or signs are posted to direct participants to the cleanup site and stations. Sacks/net bags, gloves, trash data forms, pens, registration forms, a labeled box for returning accomplished forms and other cleaning equipment (rakes, stick brooms, shovels) are ready.
Oversee all ICC activities from collecting, sorting to hauling of trash bags/sacks. Make sure the waste hauler takes all the trash away.
Inform Site Coordinators to check returning data forms if properly filled-out and if secured in a labeled box. Remind them to summarize all data forms collected and submit as early as possible.
AFTER ICC DAY:
Collect and summarize all data submitted by the Site Coordinators into the Ocean Trash Data Form for Coordinators (downloadable at the website). For every city or municipality covered, place the detailed list of all cleanup sites or Barangays with their estimated distances. This is required by the Ocean Conservancy.
Deadline of submission is until end of November by email or on-line at the ICC Philippines website. Please notify ICC Philippines by email for an extension request.
Recognize your coordinators, sponsors and volunteers with a follow-up thank-you letter or certificate. You can give out your own certificate or templates can be downloaded from the website.
