Recordings are automatically scheduled using the University of Sheffield’s lecture capture tool, Encore. The schedule is managed using the University room booking system which is organised by the programme team timetabling the sessions.
Encore records the visual input displayed on the projector in the teaching space, alongside any audio input from the microphones in the room. The recordings are processed and published online to Blackboard for trainees and staff to access later.
An Encore device light is located on the lectern in all Encore-enabled rooms. These serve both as indicators showing the current status of the Encore system in the room, and as a control button to pause and resume recordings:
⚪Unlit: No recording is currently in progress, paused, or preparing to record.
🔴Solid red light: Recording in progress. Push down on the device light to pause the recording, push and hold down on the device light for two seconds to manually stop the recording.
✨Flashing amber light: Recording paused. Push down on the device light to resume the recording.
🟡Solid amber light: Preparing to record. This will happen five minutes before the start of a scheduled recording.
Most Encore-enabled rooms have boundary microphones on the lecterns, marked with “ENCORE MICROPHONE” stickers. Avoid covering them to prevent muffled audio in recordings. Rooms without boundary microphones have alternatives like lectern, handheld, or lapel microphones.
If a session in an Encore-enabled room is not currently being recorded, a recording can be started manually.
To start an ad hoc capture: Press and hold the light for two seconds or until it turns amber. The light will turn red when recording begins.
To stop an ad hoc capture: Press and hold the light for two seconds or until it begins to flash green. When the recording has been processed, the light will turn off.
When an ad hoc recording is made it will not be attached to any course or user. Contact the Encore team at encorehelp@sheffield.ac.uk and they will locate and attach the recording to the appropriate course and/or person.
