Reception Volunteer

Reception volunteers are the first point of contact for colleagues, visitors and those who contact SEWREC via telephone or e-mail, therefore a maintaining a friendly and professional manner is essential.

Speaking clearly and understanding the services we offer is very important as you will be required to deal with a diverse range of people and situations.

We like to encourage volunteers to take a special interest in particular aspects of SEWREC’s work so from time to time, depending on inclination and ability, you may be asked to undertake special tasks in addition to the responsibilities listed below.

Your work will mainly fall into two areas:

Helping visitors and colleagues

    • Meeting and greeting visitors, and directing them to their meetings or appointments
    • Answering the reception phone and redirecting calls to appropriate colleagues via a switchboard
    • Answering the front door intercom
    • Taking and forwarding messages to colleagues by email or telephone
    • Taking deliveries
    • Helping the public with computers and telephone (when required
    • Ensuring the thirty minute computer/telephone use rule is adhered to by members of the public

Helping with general office tasks:

    • Ensuring all colleagues and visitors sign in and out
    • Recording public use of computers & telephone and producing monthly statistics
    • Recording and distributing incoming mail and parcels
    • Recording, franking and posting outgoing mail
    • Creating and editing reception documents, office signs, plus room bookings for colleagues
    • Printing, photocopying and scanning documents
    • Maintaining printer & stationery supplies
    • Ensuring the reception area is neat and tidy
    • Checking and updating public noticeboards
