Nippon Designers School Malaysia College (“NDS Malaysia”) cares about your personal data protection. This Notice clarifies how NDS Malaysia processes your data from the point we collect, use, share, dispose of and the security measure we established to ensure your data is well protected.

We collect your personal data includes, but are not restricted to:

Name, Identification number (NRIC), Passport number, Address, Contact numbers, Gender, Date of birth, Previous qualification, Personal email address, Photo and images, Video and voice recording, Marital status, Emergencies contact person(s) details, Family/guardian information, School works/assignments.

Some of the personal data that we process may include what is defined as 'sensitive personal data' under the Act, and these include, but are not restricted to:

Race, Religion, Health, Records of misconduct and disciplinary action, Records of criminal offence.

This sensitive information shall be treated carefully by NDS Malaysia and will only be used for specific purposes. It will not be released to a third party without your explicit consent unless it is necessary to protect your interests.

We gather your personal data includes, but not restricted from:

1. Various type of Inquiry, Application and / or Registration Forms (online or manual)

2. All other School and / or Support Services related Request Forms (online or manual)

3. Previous qualification related documents and / or certificates

4. School works/assignments

In some instances, your personal data may have been obtained from external sources including, but not restricted to the following:

1. Third parties such as previous educational institutions, law enforcement agencies and other government entities

2. Third party service providers and any other future third parties in relation or incidental to the above

3. Personal data which are available in the public domain

4. Personal data which may be collected from cookies through the use of NDS Malaysia websites

We collect your personal data includes, but not restricted to:

1. To process application for admission

2. To maintain students' personal details, academic and non-academic records

3. To facilitate the internships, placement or industrial training as well as co-curricular related activities

4. To provide the relevant administrative support, counselling and financial aids services

5. To manage the use of facilities such as the library, hostel, laboratories and so on

6. To administer the graduation and alumni-related events

7. To administer the tuition fee and other payment

8. To communicate with students on any important announcements, including matters relating to career services, postgraduate studies and alumni

9. To collect and relay information to relevant local or international statutory authorities or examination boards

10. To contact the student’s next of kin in case of emergency

11. To comply with any regulatory, audit or security-related requirements

We only process your personal data within Malaysia. Your personal data will not be transfer to any place outside Malaysia except NDS Japan (including third parties that provide the internships or attachment placements and / or external counterparts providing articulation or progression of study).

We disclose your personal data includes, but not restricted to:

1. The Ministry of Higher Education, other relevant government departments/agencies, statutory authorities and industry regulators

2. Malaysian Immigration Department and its appointed agencies

3. Foreign embassies and their selected agencies

4. The police and other enforcement agencies where and when required

5. Your sponsors, including your parents/guardians

6. Third parties that provide the internships or attachment placements

7. Professional or accreditation bodies

8. NDS Malaysia external counterparts provide articulation or progression of study

9. Third parties appointed by NDS Malaysia to provide services to NDS Malaysia such as auditors, lawyers, contractors, printing companies, travel agencies, training organisers and insurance companies

10. Other institutions or companies within NDS Group (including websites and social media)

We take these measures to protect your personal data:

1. By ensuring your personal data is kept as required by Act 709

2. By ensuring our staff does not misuse your personal data

3. By performing contract/agreement with third parties that provide the internships or attachment placements and / or external counterparts providing articulation or progression of study

Nevertheless, you are required to ensure the security of your password and not to disclose it to another party to reduce the risk of data breaches.

We will retain your personal data for seven (7) years / as long as you become our student/alumni. If you are no longer our student/alumni, we will permanently delete your personal data. 

You have the rights to:

1. Correct / update your personal data (please send email to pdp@nds.edu.my)

2. Access your personal data, which we process and keep with us

3. Stop any of our new promotional products sent to you

4. Withdraw your consent for us to process your personal data (NDS Malaysia will NOT be able to process your application and / or provide you with the relevant services)
