Procedures & timeline

Timeline

  • 7-26 to 8-25: Nominations (this form) open from July coalition meeting through noon August 25 (the date of the August coalition meeting). Anyone can nominate: you can nominate yourself, you can nominate a person with or without asking them, non-active status and staff can nominate.

  • 8-25: Number of nominees for each position will be shared with coalition members.

  • 8-25: Nominees who are current active members are emailed with a link to an acceptance form and a google doc.

  • 8-25 to 9-2: Each nominee MUST complete the form no later than Sept 2 to accept their nomination and be placed on the ballot.

  • 8-25 to 9-22: Nominees will have the opportunity, optionally, to add any information they'd like about themselves, their qualifications, etc. to a the google doc they were sent on 8-25. Note: reminders will not be sent about this task.

  • 9-22: Voting will take place at the September coalition meeting. Each candidate can, optionally, speak for 2 minutes before the vote.

  • Nominations

    • Opened at July board meeting with an announcement. Form to nominate https://forms.gle/EyeHyVikP57mypJQ6 will be open through 12 noon on the date of the August board meeting.

    • Announcements of nominees and any unfilled positions will take place at the August meeting (nomination form will remain open until noon that day)

    • Those nominated for positions selected via the August vote will be notified within 24 hours of the board meeting.

    • If any position remain unfilled by the deadline, a staff member will fulfill duties (but not be part of the exec committee); a workgroup can announce a nomination for the unfilled chair by discussing it at their workgroup meeting, then announcing it at a board meeting, then voting at the next board meeting (this is proposed)

  • Board positions

    • This year's board positions will be established at the board meeting via form/vote also at the August meeting. (see draft voting form)

  • Elections

    • Each candidate will be asked to agree to the conditions of the MOU

    • Each candidate will be asked to put whatever they want the board to know about them (if anything) into a google doc. The link to this doc will be provided by email in a group email.

    • Candidates can, optionally, speak for 2 minutes at the September Board meeting prior to voting.

  • An elections page is on www.jeffcoctc.com

    • Links to each google doc will be on this page. They will update as candidates accept nominations. Staff will NOT place anything on these pages on behalf of candidates.

    • The link to this page will be provided to the coalition at the August meeting and via the September coalition newsletter.
