The Professional Conversation Community
The APEX programme has developed a highly effective mentoring model to support applicants on the written pathway. In designing support for the professional conversation route, where commenting on drafts isn’t possible, we’ve created a different kind of support structure. At the heart of this is the Professional Conversation Community: an ongoing, peer-supported space where colleagues can draw on the experience and encouragement of others to shape their Fellowship journey. Rather than joining fixed cohorts, participants become part of the community after registering for the route, attending an orientation session, and taking part in a micro-clinic.
From that point, colleagues are invited to engage with a series of asynchronous activities at their own pace, with access to mentor support and the wider community throughout. The focus is on dialogue, reflection, and mutual learning—building a supportive environment that helps you prepare with confidence for your professional conversation.
Forming The Professional Conversation Community
Previously, applicants expressing an interest in the Professional Conversation were invited to join a scheduled cohort three months prior to an APEX submission point and attend a mandatory briefing session. With the transition to PSF 2023, we’ve moved to a more flexible and inclusive model.
Now, once you’ve registered with APEX, you can join the Professional Conversation Community at any time and begin engaging with the asynchronous activities at your own pace. There is no longer a requirement to attend a formal briefing session, instead, guidance and resources are embedded throughout the activity pack, and mentor support is available to help you progress.
While applicants following the written route continue to focus on drafting their submissions, your engagement through the Professional Conversation will centre on meaningful discussions, reflecting on your practice and sharing insights with others. You are encouraged to take part in peer conversations and, where appropriate, lead discussions around key themes from your practice. To support these exchanges, you’ll find prompt sheets, planning templates, and activity guidance on the APEX website. These are designed to help you link your experiences to the Areas of Activity, Core Knowledge, and Professional Values in the PSF.
As part of the community you are expected to engage in at least three meaningful professional conversation - including one with a peer applying for the same category of Fellowship. These conversations can take place in a range of formats and across categories, as we believe that cross-Fellowship dialogue brings valuable opportunities for shared learning and deeper reflection.
Your community mentor will help guide your engagement and will let you know when you are ready to book your Professional Conversation.
Arranging Community-Based Conversations
How the individual conversations within the community are arranged is at your discretion and can be conducted face-to-face or online. There is however, one condition: conversations need to be recorded. So, if meeting face-to-face an audio recording would suffice or if meeting online captured in Zoom. Access to the recording is limited to those colleagues taking part in the conversation and the professional cohort mentor so they can be used as a reflective tool for enhancement.
To aid reflection of the conversation, a checklist against which to review your conversation, against the PSF and relevant criteria, is available via the APEX website. The aim of these conversation cycles – an effective action learning set - is to enhance your confidence around developing a sustained and engaging narrative about your practice, and in doing so making sure that you are meeting the required standard commensurate with the level of Fellowship you are applying for.
You are advised to schedule a one-hour meeting for each conversation; so over the course of three months your minimum engagement time with the conversation cycle is 3 hours. You can of course have as many conversations in the cohort as you like if other participants are happy to reciprocate. Please note this is a compulsory part of the professional conversation route and evidence of these meetings is logged on the Google calendar. Failure to engage fully with these activities will prevent you from progressing to the formal progressional conversation and delay your claim for Fellowship.
