This page describes the procedures for transfering information from the "WORKING SHEET - Trees Additions and Removals" spreadsheet to the Arboretum Master Lists.
If the information is for a TREE REMOVAL,
Remove the tree information from the “Medford Campus Trees - Trees in Place” master list spreadsheet.
Add that information to the “Medford Campus Trees - Removed” spreadsheet master list.
If there is a tree sign, add that information to the “Tree Signs in Nature Center” list.
Put the tree sign in the tub in the Nature Center. Make sure it is in numberical order.
In the last column of the “WORKING SHEET - Trees Additions and Removals" “Added to Master?,” enter Yes or a check or something to indicate you completed this. Now you are done with a tree removal.
If the information is for a TREE ADDITION,
Make a temporary spreadsheet with the basic information for the tree(s) including the photo link and latitude - photo & longitude - photo. Note: the temporary spreadsheet is necessary in order to focus on a few trees at a time.
If there is no latitude or longitude information and no photo, then from the given location, e.g. behind Apartment 123, print a screenshot of Google My Map Template with Grids and Courts focused on the area specified. Copy the map with a new name reflecting the trees involved (e.g. New Tree behind 123).
Make a new Google My Map from the Template with Grids and Courts.
Import the temporary spreadsheet created in step 2.1 from Google Drive.
Copy the map with a new name reflecting the trees involved (e.g. New trees added in March 2023).
Use the new My Map to verify the precise location of the tree(s).
Print the area of the map where the tree(s) are in satellite view.
Visit the approximate location with the printed map on a clipboard.
Use a white pen (blue and black don't show up so well on Satellite background) to mark the map with the precise location.
Use the marked up paper map to enter the precise location into the spreadsheet.
In the My Map on the computer, double click the Waypoint marker for the tree and then drag it from the Photo location to the spot that was verified with the paper map in the field.
From the marker pop-up window, copy the new verified latitude and longitude and enter it into the “WORKING SHEET - Trees Additions and Removals" spreadsheet in the Latitude and Longitude columns.
Determine the Grid Number for the tree.
Once you have determined the precise location of the tree using the Google My Map created in step 4 above, use the Grid layer to see which Grid it is in.
Enter the Grid Number into the WORKING SHEET speadsheet.
Move the photo to Google Photos from my OneDrive (or where ever it was) to a Grid Album in Google Photos.
If there is not already an Album for the Grid in question, create one.
Open the Grid Album and drag the tree’s photo into the album.
Enter the tree’s Common and Latin names into the info pane.
Copy the Google Photos link and enter it into "Tree Photo(s) Link (Google)" column in the “WORKING SHEET - Trees Additions and Removals" row for that tree.
If the photo already exists in Google Photos, but has nothing in the ‘Info’ field and/or is not included in a Grid album,
Copy and paste the Google photo link into a new screen
Click on the photo to bring up the Info sheet on the right side of the screen.
Copy the tree name and number from the source, (probably the Trees in Place master list), and paste it into the Info field on the photo.
If there is no Grid album listed below the Info field, click on the photo, then on the three vertical dots, then click on ‘Add to album.’
Click on the appropriate Grid, or if it is not listed, then click on ‘New album’ and create the new Grid album.
Enter the tree in the Master List spreadsheet, “Medford Campus Trees - Trees in Place.”
Scroll to the last row in the spreadsheet.
Enter the next consecutive 4xxx Tree Number.
Enter relevant information from the working spreadsheet. Note: NOT the OneDrive photo link or the Photo Lat/Lon information.
Add the Tree Number to Info in Google Photos entry for that tree.
Record Entry of the new tree by entering a ‘Yes’ or a check mark in the last column labeled “Added to Master?” in the “WORKING SHEET - Trees Additions and Removals" spreadsheet.
Delete or archive any temporary spreadsheets and My Maps used to verify the location of the tree(s).
