Emails for the next day should be scheduled to send the night before at 8:00 pm. This is critical - in order to give families time to plan for the next day. You can schedule all of your emails for the week if you like to work ahead!
To schedule a message via Gmail in a desktop web browser, follow these steps:
Compose a new email
Click the triangle next to the blue “Send” button
Select one of the suggested times, or click “Pick date & time” to customize when exactly you want the message to go out
Click “Schedule send”
Choose "Pick Date and Time"
Then click the blue "Schedule Send" Button
The process is exactly the same in Gmail’s mobile app. But instead of clicking part of the send button, when composing an email, you have to click the three dots in the top right-hand corner of the screen. That’ll bring up the option to schedule a time.
Schoology Messaging does not play well with links and attachments. We recommend making a Gmail Group if you haven't already. Need to know how? There is a great video tutorial on MasonConnects.
All grade PreK-4 teachers will clearly communicate daily learning plans in their email. The email should be copied from the template you linked yesterday. Each day you will add a new copy of the table to the top of your google doc and fill it out. This folder should be posted at the top of your Schoology materials page. Once it is ready to go, you will copy it and send it out to families. Emails should be sent out by 8:00 pm the night before to allow families an opportunity to gather materials if their child will be doing their learning other than at home.
Remember your total instructional time! You will want to delete the rows you are not using for the day.
Not doing science? Great! Place your cursor in the science row of the table --> Right Click --> Delete Row
Recommended Maximum Total Time Kids Will Spend on Schoolwork:
Preschool - 1/2 hour per day, broken up into smaller increments
Kindergarten - 1 hour per day
1st & 2nd grade - 2.5 hours per day
3rd & 4th grade - 3 hours per day
Create Predictable Routines for Families
Add a little flair for fun and to stay connected
Try to get ahead to care for families
We recommend trying to have your template and emails scheduled a minimum of two days ahead
Encourage families who need to plan ahead for childcare to log into Schoology and look ahead on your template
Tip: Star or Bookmark your grade level Specials/Gifted Template for easy access
SHARE your template with your intervention specialist and ESL teachers so that they can see the learning that is occurring in your classroom.
Special Area and Gifted teachers are posting their weekly lesson in Schoology as well. Homeroom teachers you will need to copy this into your template prior to scheduling your email.
** Specials plans and Gifted Plans should be pasted in the doc NO LATER than Sunday night at 8:00 pm
Classroom Teachers - bookmark these templates!
Phase 2 provides time to test our systems, orient students and families to a new way of connecting, and determine which students need more support to get connected or engage with learning activities.
Monday, March 30th will be continued learning with a focus on Comet Connect - aka Office Hours
Tuesday you will have a grade level meeting with LED's and Teacher Leaders to look at the Orientation Emails you will be sending to families on Thursday and Friday. You will have an opportunity to personalize these - but we will have some required elements.
Wednesday, Thursday, and Friday will be days for you to prepare for the week ahead, ensure your students are getting connected, and troubleshoot any issues.
If you like to have the big picture, take a look at your checklist for Phase 2
