On the second Friday of the month we hold three training sessions covering over ten modules on LegalServer. Each onboarding agency should plan on attending at least one full Features Tour and are invited to attend more than one. This training is appropriate to both admins and front end users.
On the first Tuesday on the month we hold an afternoon training covering the admin tools on LegalServer, including creating fields, lookups, process, forms and branch logic. We take a look at editing profiles and the site menu, as well as the site settings.
Most onboarding clients have three hours of dedicated admin training. We typically use this time to review configurations made on your site, and walk your admins through those configurations and how to maintain these changes. This session is usually scheduled on an agency by agency basis. Please consult your contract for these training hours.
Each week we hold office hours where onboarding groups are encouraged to log into the Zoom room and ask general questions about the functionality of various LegalServer features. Please be aware, there are often multiple groups represented on these calls. When this happens we do a round robin style where each group asks a few questions, and we move on to the next group to make sure everyone's questions are answered. We are not able to answer specific questions about things like data, and focus instead on general functionality.
Part of the GoLive process typically includes GoLive Training. Please consult your contract for the number of hours and format of the training itself. For a list of the suggested topics, please take a look at our help site Training Before Go Live. Your onboarding contact will discuss and finalize your training schedule in the weeks leading up to your GoLive.
After GoLive many groups have additional training hours to use to answer questions, review existing modules, or train or additional features. We try to schedule these within the 30 day refinement period
Every Tuesday we hold a platform wide training on a variety of topics from running reports to intake functionality to open q & a for admins and report builders. Anyone using LegalServer is invited to join.
You can always request additional training, either during the onboarding process or once your site is live. For more information, please read our LegalServer Training page on the help site.
Every group trains their staff differently, but the most successful groups start training staff on how to use LegalServer during the onboarding process. These are some ideas on how to introduce LegalServer to your staff that other groups have used in the past.
Our community comes up with interesting and innovative ways to train their agencies in the ways of LegalServer. These are some ideas from site administrators on how they encouraged and trained their staff to interact with LegalServer before their GoLives, implementation of a new feature, before changing to a new interface, or any major change to Legal Server.
Set up Tuesday lunches where staff can come together and view the Tuesday Training over lunch. Alternatively, view videos from this site and YouTube channel in a conference room together.
Train staff on their own laptops or computers, so they have the experience of putting information into the system on a machine they are comfortable with.
LegalServer Jeopardy or other gamification exercises.
Provide individual office managers (or people in similar positions) overview of the systems, demonstration(s) of particular features etc.
Setting up working groups to help with communication, user experience, testing the site. Make sure each office and each program is represented. They will get to know the system well, and can be an unofficial knowledge source down the road.
Small group trainings- where 3-5 staff are given an application to input, add case notes and close the case on the demo site.
Create a staff tech team with members from every part of the agency to lunch together once a month, discuss how technology is being used in the agency, how LegalServer is implemented in your programs etc.
Setting up a email group of internal "LegalServer Super Users" so staff can email their easy questions (like- how do I add time again) to a small group of people, rather than just one or two site administrators.
Provide access to the demo site so staff can keep training themselves, and use the demo site when you implement new features or change anything major in your process, so staff can practice.
Creating a simple LegalServer Introduction and Overview that is customized to your staff's needs.
Provide sample cases for your staff to walk through the life cycle of the case from inputting intake information to entering time to closing the case.
Create a "LegalServer translation list" where the words the platform uses is different than the words your program uses.
You can search the archive of our site admin listserve for more ideas of what other's have done to ready their staff for GoLive, or ask your onboarding contact for additional ideas.
