Your onboarding process will be separated into four sections: project initiation, discovery and configuration, golive and refinement. Your project manager will be your primary point of contact at LegalServer throughout this process. Other specialists will assist with your migration. You can reach our support team at support@legalserver.org.
During project initiation we will ask you to fill out an accountability matrix and a new client survey. We will hold our kick off call and spin up your demo site which may include our data migration module. During this phase we will provide you with a Google Drive folder for sharing documents between our teams.
This is the longest portion of the onboarding process and where we will spend most of our time together. We will assess your programs needs then configure the relevant components of LegalServer.
Future Reports- A list you will create using the Future Reports tool. Your admins and LegalServer will build these once the data and filter needs are described.
Data Upload and Analysis- LegalServer will ask your program to upload a complete copy of your database. If you are migrating data, we will work together to analyze your data mapping needs.
Special Programs and Processes- LegalServer will ask your program to list all grants or programs with special data needs (data that needs to be collected and/or summarized in reports)
Additional Development Requests- Your contract may have specialized development just for your organization, or as such needs may arise during the onboarding process. We will work through this together.
Project Planning- We will use a shared document to track the various stages of this process.
We will work through the standard components of LegalServer, Optional Modules you have purchased or decide to purchase through the onboarding process, any Special Programs and Processes specific to your site, and any additional development that may be required. If you are migrating data into LegalServer the initial test import into your demo site also takes place during this phase.
During this phase we preform your GoLive training, spin up your live site, import data if applicable, and you GoLive!
Review and feedback starts just as you GoLive and continues for the first month or so after your GoLive date. This is a time for issue spotting, rapid refinement and ultimately final acceptance of your live site.
Throughout the onboarding process and after GoLive there are a variety of training opportunities for you and your staff. Each Tuesday you are invited to our weekly trainings. We hold end user GoLive training both before and after your GoLive, and your admins will participate in a separate Administrator Training. A list of our training offerings can be found here.
