end of the Year

checklist

step 1: back up your LAPTOP

Clean up Your Desktop Screen

    • Delete shortcuts, screenshots or files you no longer use.

    • Organize the files you want to keep into a folder. (How to make a folder: Right click > New > Folder)

      • If you use more than one device, like a desktop computer, you'll need to follow the above instructions for that device, too.

Back up Your Device to Your KISD Google Drive (written instructions)

    • Google Drive folders will NOT be deleted for teachers! If you are leaving KISD, follow the steps at the bottom of this page to take your files with you.

    • Clean up your Google Drive. Start by deleting your Untitled Documents then moving things into folders. Seem daunting? Sign up for Google Drive Detox and do a small task each day.

Clean up Your Emails

  • Empty your inbox

  • Move important emails to folders

  • Delete emails that are not needed, then delete your Deleted Items folder (to free up more space on your device, delete your Sent Items folder, too).

step 2: schoology

SGY Maintenance

EOY SGY Clean Up

SGY Info

    • Courses will archive on June 4th, 2021. Teachers WILL still have access (via Archived Courses), students will NOT.

    • Groups will remain accessible to all. (If you have an old Group going unused, please delete it.)

    • During the summer, if you are working on your course for next year, do so in Schoology Resources or your Practice course. (Don't have a Practice course, or need an additional one? Ask Amy.)

Tech Licenses

  • Klein Cain has new Edpuzzle licenses for next year.

  • The district has renewed Zoom and Remind licenses for all. Remind classes will archive July 5th, but students will lose access to their Remind accounts June 12th.

step 3: teacher device & classroom desktops

Secure Your Device

    • Take your device and charger home for the summer or secure it. (If you are attending Summer PD, you will need it.) Also, please secure your docking station and accompanying cords.

    • Secure the student device chargers for classroom use.

Classroom Desktops

  • Make sure the TWO required desktops in your classroom are available for servicing this summer (not stored in cabinets), including the necessary hardware that goes with them. The Cube will be reimaging those desktops over the summer.

Traveling with Your Device

  • If you are traveling outside of Klein ISD for a conference or other work-related event and are worried about connecting wirelessly, submit a ServiceDesk ticket one week in advance with your travel dates and they will adjust your tablet.

Summering with Your Device

    • Do have systems open upon start up that you don't need over summer? (i.e. health check form, Skype for Business, etc.) Instructions for "Open Upon Start-up" - to open or cease open.

    • A few days before we return in August, please charge your device fully. If you do not use your device over summer, the internal battery will be dead.

Lost or Stolen Device

    • If your device is lost or stolen, you must report it immediately to The Cube.

    • There is paperwork on KNET for a lost/stolen device.

    • Remember to keep devices in a safe place and do not leave them unattended. Most stolen devices are stolen out of cars.

Reimage Your Computer

    • If you are returning next year, you will need to reimage before the new school year begins. The Cube will be happy to reimage your computer starting <DATE TBA> (We're waiting to hear when the image will be ready this summer). You can drop off your tablet any time that is convenient for you, and allow at least 1 hour before you return to pick it up.

step 4: employees leaving Cain or Klein ISD (optional)

If leaving KISD, you will have access to Klein ISD systems (Google too) until July 31st.

LAPTOP

    • Employees leaving Cain (including transferring to another campus), you must return your device, docking station with cord, Fujitsu charger(s), and the laptop bag (if you received a bag) before you leave to the Cube!

GOOGLE DRIVE

    • Employees leaving KleinISD can use these directions to create an archive file of their Klein Google content. Archived content can be stored on a personal computer hard drive or external storage (flash drive, USB drive, etc.) or uploaded to a personal online storage location. (Encouraged to complete earlier rather than later, so that it can be re-done if an initial attempt does not work.)

        • This Google support page provides additional information about the process and results.

        • Items that are not included in the export can usually be downloaded and added to saved files. Depending on sharing privileges for the document, teachers may need to make a copy of some items in order to download them.

        • If you have files you want to "leave behind," transfer ownership to someone who's staying; use these instructions.

        • Student products and assignments are part of students’ education records and should remain in Klein in accordance with FERPA.

        • If you are transferring to another KleinISD campus, this portion does NOT relate to you. Your Google Drive contents will go with you anywhere in the district.

SCHOOLOGY

    • IF, and only if, you are going to a school district that also uses Schoology, you can export your Schoology courses, resources and archived materials to take with you. Watch this video for instructions. You will need a large capacity USB stick or external hard drive.

        • YES - Tomball, CyFair, Kingwood, Spring ISDs use Schoology LMS

        • NO - Katy, Conroe, Magnolia ISDs use Canvas LMS; Spring Branch, Houston ISDs use ItsLearning LMS

CLUBS/ORGANIZATIONS TRANSFER

    • Employees leaving Cain who are sponsors/coaches need to transfer ownership of school based social media accounts or Google Sites/websites to the new sponsor or coach BEFORE leaving.

ARE YOU SURE? If you choose to skip any of the steps above, once your email and account is de-activated in the Klein system, you will not be able to access anything, including trying to recover a "forgotten" Twitter account that's associated with Cain, because they cannot send recovery information to a non-active email address. Seriously, think hard before you declare yourself "outta here." Good luck to you in your future endeavors!
