A transcript is a detailed, academic record showing all of the courses a student has taken. All grades earned at Summer School, Twilight School, E-School, Early College/Running Start, and middle school (if applicable) will be reflected on your transcript. Usually this will be a paper or online document and will include a student's grade, rank, cumulative grade point average (GPA), and test scores such as the ACT, SAT, and Smarter Balance. For test scores, you have to request for this to be placed on your transcript.
When applying to colleges and scholarships, you will be asked to send an unofficial or official transcript. An official transcript is sent directly from the high school to the college or scholarship organization. Official transcripts are sealed and can be mailed OR uploaded to an online application or scholarship portal. An unofficial transcript can also be sent to a student or parent and Kapolei High School (KHS) will still need a transcript request form to be completed. Some colleges and scholarships will allow a student to use an unofficial transcript as part of the student's application. If you are not sure which transcript to request, please check with the admissions office, scholarship organization, and/or Mr. Okoji. You can obtain an unofficial transcript from ANY counselor, including your Academy Counselor.
College application and scholarship deadlines come hard and fast! You may need to send a transcript in postmarked by a certain date. A postmark is a postal marking made on your mailing envelop indicating the date and time that the item was delivered into the care of the postal service.
For example, let's say you are applying for a scholarship and all documents (including an official transcript) are due on Friday, May 15. Some scholarships are very strict. Your documents must physically be in the scholarship office by 4:00 p.m. on Friday, May 15. If you request a transcript from Kapolei High School on May 14, we will process your request in a few days and mail it out. Depending on the postal service delivery, your transcript may not get to the scholarship office until May 18. Thus, your transcript is considered late and you are ineligible for the scholarship.
On the other hand, some scholarships will require you to turn in all your documents postmarked by a certain date. Let's just say you go to the post office on May 15 to mail your documents. The post office will physically mark your envelop with a date that they received your envelop. Thus, your envelop is postmarked on May 15. Your document will take a few days to arrive at its destination. If you document is postmarked on May 15, but arrives at the scholarship office on May 18, then it will be considered on time.
The bottom line is don't wait until the last minute to send a transcript. Research your deadlines and whether or not something needs to be postmarked. A good rule of thumb is to turn in all documents (including transcripts) at least two weeks prior to the deadline. If there is an issue, you will still have time to trouble shoot it. Good luck!
Kapolei High School WILL NOT release a transcript to any coach or college unless a signed Transcript Request Form is completed by the student/parent. However, students/parents can request an unofficial transcript for themselves and share this on their own with these respective officials. See your School Counselor or stop by the Registrar's Office or College & Career Center to pick up a copy of your unofficial transcript.
NAIA & NCAA will only accept official transcripts.
NAIA:
Due to Covid-19, the NAIA will only accept official transcript uploaded by a school official. If you would like to request an official transcript to be sent, please check "Electronic Transcript Upload" on your Transcript Request Form and write "NAIA" on the blank line.
NCAA:
NCAA also requires an official transcript. NCAA will accept a mailed OR uploaded electronic transcript.

Early College (EC) & Running Start (RS) are considered dual credit courses. This means the grades and credits you earn will go on your college AND your high school transcript. For example, if you took English 100 at Leeward Community College (LCC) and earned a B grade, this will be reflected on both transcripts at LCC & Kapolei High School (KHS). At LCC, you will earn 3.0 college credits and your B grade will be factored into your college GPA. At KHS, you will earn 1.0 credit and your B grade will be factored into your high school GPA.
If you are applying to a college and are asked to verify your EC/RS courses, you can self-report these courses on the application portal OR use a high school transcript. This should be sufficient for your application. However, some schools may ask you to submit a transcript directly from the college you took the course from. If this is the case, then you will need to submit a transcript from the college you took your EC/RS course from to the college you are applying to. The majority of KHS's students take EC/RS courses from these schools and here are the links to request your college transcript:

Please check with the admissions office that you are applying to before you request a college transcript to be sent. There is a fee to send a college transcript.
If you take an EC/RS course at a UH System School (e.g. LCC, UH West Oahu, UH Manoa, UH Hilo, Honolulu/Kapiolani/Windward Community College, etc.) and then enroll as a full time student after you graduate, you do not need to submit a form to transfer your college credit. All UH System schools will automatically have access to your EC/RS credit/grades. However, if you enroll at a school outside of the UH System (e.g. Chaminade University, Hawaii Pacific University, mainland schools, etc.), then you will need to submit a transcript request form from the college you took your EC/RS course from to your new school.
After you graduate, all of your grades, rank, and grade point average will be updated on your transcript. You will need to send a final transcript to the college you will be enrolling at in the fall semester. This verifies that you are a high school graduate and continued to work hard throughout your senior year. Some schools may retract your acceptance if you drop a course and/or receive a low grade. Although rare, it is a possibility especially if your school gave you a "conditional acceptance."
Note: You can submit a final transcript request PRIOR to graduating. For example, if commencement is on Friday, May 25, you may submit a request in on May 1. Once final grades are processed (after commencement and the last day of school), your transcript request will get processed. It should take a few weeks after the last day of school for your transcript to be sent.
It is your reponsibility to check with the admissions office, scholarship organization, etc., to make sure that they received your final transcript. You can also call or email the Registration Ofice to check on the status of your final transcript. Please note that School Counselors and the Colllege & Career Center (Mr. Okoji) do not work in the summer. So if you call/email them, they will not respond.
If you are a senior applying to college in the fall semester, you will submit a 6th semester transcript as part of your application. A 6th semester transcript includes all your courses/grades from Freshman year to the end of your Junior year. Your current cumulative grade point average and rank will be listed on your transcript and you may use this to answer some questions on your application. Due to Covid-19 a number of colleges are going test optional and not requiring the SAT/ACT. These colleges will be looking at a number of other factors such as what kind of courses you previously took and are currently enrolled in. It might be to your advantage to send your Senior Year Schedule and/or your current report card (if applicable at the time of your application) to your colleges. Colleges will be closely scrutinizing your transcripts to look at core course grades, Early College/Running Start/AP courses taken/enrolled in, number of years a student took a course (e.g. Foreign Language for two years, MJROTC for four years, Marching Band/AVID for three years, Ceramics, etc.). Report card grades are usually available about two weeks after a quarter has ended.
Your 7th semester transcript includes your grades and courses from the 1st semester (Quarter 1 + 2) of your senior year. If you are applying to a college in January, you will need to send your 7th semester transcript.
Effective July 1, 2025, students will have the first 10 transcript requests free of charge. Any requests above 10 will incur a charge of $1.00 (Documents) + $5.00 (Service Charge) = $6.00 (Total).
Note: If you are a current Senior and need a transcript for your COMMON APPLICATION, fill out this link: Common Application Transcript Request Form. You will turn this form in at the REGISTRATION OFFICE. Once it gets processed, the School Counselor you listed in your Common Application account to be your Recommender will upload your official transcript.

For all other transcript requests, follow these steps:
Go to Transcript Form for Current Students and submit an online request OR download the form here. If you download the form, you must turn it in at the Registration Office (back side of the main office).
Complete all personal information. If you are sending a transcript to a college, do not use a search engine like Google, Yahoo, etc., to find the school's mailing address. Instead, go directly to the college's website and find the college's "Admissions Office Address."
Sign the request form. If you are not 18, both you AND a parent/guardian need to sign it.
